POSITION TITLE: Administrative Assistant

FLSA STATUS: Non-Exempt

EFFECTIVE DATE: September 2026

This is a hybrid position, working two days per week at Linc's corporate office in Long Beach, CA. The position is Monday through Friday, approximately 40 hours per week.

Preferred Hiring Range: $25.13 to $29.57

Please note: The position title and salary range will be determined based on the selected candidate’s skill set and level of experience.

POSITION SUMMARY

Under the general supervision of the Executive Vice President, the Administrative Assistant provides administrative support to the Executive Vice President and to Linc Housing’s Housing Development and Corporate Development teams. The Administrative Assistant assists the Executive Vice President in scheduling tasks and staying on top of time-sensitive matters, and handles general administrative tasks that keep both teams running smoothly, including data entry in departmental systems and coordinating the teams’ preparation for regular board committee meetings. The ideal candidate is organized, able to manage multiple priorities with professionalism and attention to detail, and maintains confidentiality and discretion in the disclosure of information to various internal and external parties.

ESSENTIAL FUNCTIONS

  • Compose correspondence and coordinates workflow, coordinates meetings and travel.
  • Create and edit presentations.
  • Conduct basic research and analysis.
  • Coordinate Executives’ schedules and provide relief of administrative detail for projects.
  • Prioritize signing of documents and checks.
  • Keep/obtain receipts for team and complete monthly expense reports as requested.
  • Organize and maintain executive offices, including paper and electronic filing.
  • Coordinate and assist in planning events, e.g. meetings, stakeholder events, and board meetings.
  • Coordinate with the Housing Development and Corporate Development teams in preparation for regular board committee meetings, including scheduling, tracking deadlines, and collecting and assembling materials.
  • Perform accurate and timely data entry in the Corporate Development CRM system and the Housing Development finance and project management systems.
  • Collect items for internal management meeting agendas as well as external meetings.
  • Provide general administrative support for the Housing Development and Corporate Development teams.

KNOWLEDGE, SKILLS & ABILITIES

Knowledge of

  • Advanced writing, grammar, and verbal communication to ensure clarity and effectiveness in all communications.
  • Program planning and implementation to support effective execution of department initiatives.
  • Microsoft Office programs, including Word, Excel, and PowerPoint.
  • Basic accounting, budgeting, supplies, equipment, inventory control, and cost control procedures.

Skill Level

  • Strong initiative and the ability to manage multiple projects simultaneously with robust follow-through.
  • Superior organizational skills to effectively handle various tasks and responsibilities.
  • Strong diplomatic acumen and excellent interpersonal skills for managing diverse interactions.
  • High level of attention to detail and accuracy in task execution.

Ability to

  • Work efficiently in a fast-paced team environment.
  • Able to work with multiple priorities and deadlines.

EDUCATION & EXPERIENCE REQUIREMENTS

A combination of education and related experience may substitute for education requirements.

  • Associate degree and
  • A minimum of 2 years of experience working in an office environment using tools, systems, and equipment commonly found in an office environment.
  • Demonstrated experience using Artificial Intelligence (AI) highly preferred.
  • Ideal candidate will have experience working in real estate or affordable housing.
