Located in the Smoky Mountains of Western North Carolina, Lake Junaluska is a conference and retreat center that hosts over 50,000 overnight guests annually. We have over 400 lodging rooms, a campground, and meeting space for up to 2,000 people. All of our facilities are located on a scenic 1,200 acre campus which boasts panoramic views, abundant recreation opportunities, and a 200 acre lake. Our market ranges from youth groups to affluent leisure guests primarily from the Southeastern US.

The primary purpose of this position is to serve as administrative support for all new and ongoing programs in support of the Lake Junaluska Program Ministry Department. The Administrative Assistant will join a team of ministry professionals that advocate for the mission of the organization and work to engage groups through meaningful ministry programs. The ideal candidate is proactive, detail-oriented, collaborative and passionate about our mission of transforming lives through renewal of soul, mind and body.

Essential Functions:

  • Must possess excellent hospitality skills and a strong desire to foster an attitude of Christian hospitality to “exceed guest expectations”.

  • Assist in planning and execution of multiple program group events annually.

  • Organizing the administrative efforts of programming events to include; registration, marketing support, and cross-functional department communications.

  • Assist in the coordination between internal departments for all programmed ministry events.

  • Create and maintain program ministry inventory of event supplies, including; decorations, craft, memorabilia and worship items.

  • Provide assistance and support in program planning and execution for Lake Junaluska hosted ministry events and programs.

  • Support and assist ongoing ministry groups in conveying feedback to the internal teams following events and programs.

  • Coordinate timely submission of agreements to keynote speakers

  • Process check requests, cash handling, providing correct change, and operating the point of sale (POS) system during events.

  • Maintain ministry network drive data and provide reports as needed.

  • Comply with all safety policies, practices and procedures and report any unsafe activities or conditions immediately to the supervisor or the Human Resources department.

  • Assisting with event registration as needed (may include compiling leader packets or making name tags.)

  • Managing event special ordering and distribution of items, like T-shirts.

  • Participating and assisting with partnered annual community events such as:

    • July 4th celebrations,

    • Christmas,

    • Summer Worship,

    • ticketed concerts, etc.

  • Other duties as assigned.



Qualifications

Knowledge, Skills and Abilities

  • A combination of education and experience equivalent to an Associate’s degree.

  • Minimum of 2 years of relevant administrative and ministry experience desired.

  • Demonstrated communication skills and a commitment to providing responsive and conscientious customer service.

  • Flexibility and ability to adapt to changing needs, multiple task demands, and work structures.

  • Ability to read and comprehend instructions, correspondence, and emails.

  • Ability to present job related information upon request to customers, guests, and employees of the organization.

  • Ability to plan and organize, intermediate computer skills using Microsoft Office, Google Drive, Maestro and email.

  • Ability to solve practical problems and handle a variety of customer, guest, and employee questions.

  • Willingness to work flexible hours that may include evenings, weekends and holidays.

Working conditions

  • Light to moderate physical activity performing at times strenuous activities.

  • Well-lighted, heated and/or air-conditioned indoor office/venue setting with adequate ventilation; with moderate to loud noise.

  • Able to lift, push, pull or otherwise reposition objects weighing up to 30 pounds.

  • Ability to coordinate work, climb, balance, stoop, kneel, frequently moves about, able to stand, walk and sit for extended periods.

  • Manual dexterity to perceive attributes of objects and materials.

  • At times, be outdoors in all weather conditions.

  • Must be able to see close up, have good vision to perform daily duties.

  • Variable Hours: Monday through Friday, nights, weekends, holidays, and travel as required.
