Job Description

DMBA (Deseret Mutual Benefit Administrators) is a non-profit organization that administers benefits for companies who are owned or affiliated with The Church of Jesus Christ of Latter-day Saints.

The Part-Time Administrative Assistant provides high-level administrative and operational support to the Director of Missionary Medical Operations. This role supports scheduling, coordination, budgeting support, travel logistics, culture initiatives, and documentation across internal teams and key stakeholders. The ideal candidate is organized, proactive, detail-oriented, and comfortable working in a healthcare-adjacent environment where confidentiality, professionalism, and attention to detail are essential.

Schedule
Part-time position, approximately 20-29 hours per week. This is a hybrid role, with a required in-office day each Tuesday and remote work on other scheduled days, based on business needs.

Key Responsibilities
Administrative & Executive Support
• Manage calendar scheduling, meeting coordination, and logistics for the Director and supported managers
• Prepare agendas, take meeting notes, and track follow-up items as needed
• Assist with email correspondence, document drafting, and formatting
• Organize and maintain digital files, records, and shared folders
• Provide administrative support to the Vice President's Administrative Assistant as needed to support department-level coordination and priorities

Budget & Expense Support
• Assist with monitoring departmental budgets and tracking expenses
• Prepare and submit monthly Concur expense reports for the Director and supported managers
• Help ensure expenses are documented accurately and submitted timely in alignment with DMBA policies

Travel Coordination
• Coordinate business travel for the Director and managers, including booking flights, hotel accommodations, and related logistics
• Assist with itinerary planning and travel documentation as needed

Operational & Project Coordination
• Support coordination across Missionary Medical Operations teams
• Assist with preparation of materials for leadership meetings, trainings, and presentations
• Help track projects, action items, and deadlines to support operational follow-through

Culture & Engagement Support
• Provide administrative and coordination support for the Missionary Medical Operations Culture Committee
• Assist with scheduling, communication, and logistics related to culture initiatives and activities
• Support planning and coordination for the annual Missionary Medical Operations retreat

Communication & Documentation
• Draft and edit internal communications, updates, and summaries in a professional, people-first tone
• Assist with creation and maintenance of SOPs, one-pagers, and reference materials
• Ensure materials are clear, accurate, and aligned with Missionary Medical and DMBA standards

Confidentiality & Compliance
• Handle sensitive information with discretion, including PHI and Church-related matters
• Follow all applicable privacy, security, and compliance requirements

Required Qualifications
• High school diploma or equivalent required; associate degree or higher preferred
• 2+ years of administrative or executive support experience preferred
• Strong organizational and time-management skills
• Excellent written and verbal communication skills
• Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
• Ability to manage multiple priorities with strong attention to detail

Preferred Qualifications
• Experience supporting leadership or director-level roles
• Familiarity with healthcare, insurance, or mission-related environments
• Experience with expense reporting tools such as Concur
• Experience creating or maintaining documentation, SOPs, or training materials
• Comfortable working independently in a hybrid environment
