Job Summary:

Reporting to the Senior Business Operations Specialist, the Administrative Assistant will support a variety of projects, as well as reporting, communications and general administrative work. This is a full-time, exempt position that will be paid for time worked on a salary basis.The Administrative Assistant will be held accountable for the following responsibilities:Support management of ONS systems and processes.Provide administrative support including but not limited to updating and maintaining calendars for Chief and Deputy Chief time off, photocopying and printing, preparing meeting materials, scheduling meeting locations, and supporting attorneys and leadership in the Law Department.Create regular and ad hoc reports under the direction of the Director of Data Management.Create and coordinate a streamlined process for updating and managing critical documents used by staff district-wide.Coordinate circulation of external and internal communications (memos, newsletters, etc).Use various tools used to collect and maintain data, e.g., Google Suite, Power BI, etc.Develop and edit digital media presentations for advertisements and meetings.Answer phones, direct calls to the appropriate parties, and take messages as appropriate;Support schools during annual temporary deployment.Other duties as assigned (Do not edit this row)

In order to be successful and achieve the above responsibilities, the Administrative Assistant, Office of Network Support must possess the following qualifications:Education Required: Bachelor’s degree from an accredited college or university required Experience Required: Minimum of two (2) years of administrative or clerical duties work experience required, which can include previous internshipsDigital Media experience preferred

Knowledge, Skills, and Abilities: Ability to use and quickly learn and apply a variety of data tools (e.g., Power BI)Strong interpersonal, presentation and communication skills (Verbal, Written, Listening)Ability to build collaborative relationships with a variety of constituent groups, including external partners, to ensure the entire system supports schools and principals effectivelyAbility to define problems, analyze data, and outline valid conclusions and action stepsAbility to see projects through the full life cycle, monitor progress and make adjustments as neededAbility to thrive in a fast-paced environment; Ability to work independently or in a team environmentCapable of handling sensitive information and maintaining high levels of confidentiality Proficiency with the Google Suite applicationsStrong attention to detail

Conditions of Employment

As a condition of employment with the Chicago Public Schools (CPS), employees are required to:Establish/Maintain Chicago Residency - Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions, however, all CPS employees must be residents of Illinois.
