Job Description
The Nursing Administrative Assistant assists the Director of Nursing, Nurse Managers, and Clinical Coordinators by performing clerical and support duties. The person in this position completes projects as assigned by nursing leaders and is responsible for maintenance of office equipment and electronic files. Understands and supports Tamarack Health's Mission, Vision, and Values; the principles and activities of True North; and organizational goals.
Responsibilities/Duties
- Serve as the primary administrative support for Nursing Administration, maintaining positive and professional relationships with staff, members, department leaders, and administrators.
- Coordinate and prepare monthly Nurse Manager and Nursing Supervisor leadership meeting agendas in collaboration with the Director of Nursing (DON).
- Accurately type, format, and transcribe correspondence, reports, meeting notes, and other departmental documents.
- Answer and manage incoming phone calls for Nursing Administration, providing information and directing inquiries appropriately.
- Welcome and assist visitors to the Nursing Administration office, ensuring timely routing to the appropriate staff member or department.
- Manage daily incoming and outgoing mail, including sorting, distributing, and coordinating processing with the mailroom.
- Maintain and organize electronic nursing personnel records, including employee absences, voluntary time-off requests, new employee requests, status change forms, and DAISY Award nominations.
- Assist with the maintenance, organization, and distribution of nursing policies and procedures as needed.
- Monitor and maintain office supply inventory, ensuring adequate stock levels and timely replenishment of materials.
- Coordinate maintenance and basic troubleshooting of office equipment, arranging service and repairs when necessary.
- Collect, compile, and organize departmental data from various sources to support operational and quality initiatives.
- Create and maintain spreadsheets, reports, dashboards, charts, and graphs to track metrics and present data findings to nursing leadership.
- Support Nursing Administration projects and initiatives through effective organization, recordkeeping, and administrative coordination.
- Ensure confidentiality and accuracy in the handling of sensitive employee, departmental, and organizational information.
- Perform other administrative and clerical duties as assigned to support the goals of Nursing Administration.
Education/Experience
- Previous experience in an Administrative Assistant, Executive Assistant, or related administrative support role, preferably within a healthcare or clinical environment.
- Demonstrated ability to follow written and verbal instructions accurately and efficiently.
- Strong keyboarding and data entry skills.
- Excellent interpersonal and customer service skills with the ability to build and maintain positive working relationships across departments and all levels of the organization.
- Proven ability to handle confidential and sensitive information with discretion, professionalism, and sound judgment.
- Strong organizational skills with the ability to manage multiple priorities, maintain accuracy, and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Teams, or the ability to achieve proficiency within three months of hire.
- Experience creating spreadsheets, reports, charts, and graphs to support departmental operations and reporting needs.
- Effective verbal and written communication skills.
- Ability to work independently while also collaborating effectively with leadership, staff, and interdisciplinary teams.
- High attention to detail and commitment to accuracy in administrative and clerical tasks.
