Administrative Assistant II

Full-time I First Shift
Surgical Services I Lexington

Baptist Health Lexington Surgical Services Department encompasses several key areas: the Pre-Op Department, 20 operating rooms with a business office staff responsible for scheduling, a Postoperative Care Unit, an Endoscopy Department with dedicated pre- and post-op areas, and a Sterile Processing Department.

  • Assists Executive Director, Cardiovascular Services with scheduling meetings, events and assisting with coordination of services for transition and moves.
  • Oversees and coordinates activities for Invasive and Non-invasive Cardiology services with scheduling events, coordinating survey schedules, and assisting with reports.
  • Coordinate and complete special projects independently or in cooperation with other groups as assigned.
  • Coordinates and oversees the day-to-day management of supplies, equipment, and facilities for the Heart and Valve Center, as appropriate, to include maintenance, inventory management, logistics, security, and related activities.
  • Serves as a primary point of direct administrative contact and liaison with other departments internally throughout the organization and external institutions and agencies on a range of specified issues; organizes and facilitates meetings, conferences, and other special events, as required.
  • Organizes and facilitates meetings and special events, schedules and coordinates dates and times, venues, attendance, agendas, and facilities, takes minutes, and provides administrative support and follow-up on matters arising from meetings.
  • Maintains and updates office supplies for Cardiovascular Services
  • Maintains Executive Director’s schedule.
  • Schedule meetings according to executive’s guidelines.
  • Provide information on schedule to executive daily or more frequently as appropriate.
  • Coordinate schedule to provide effective use of executive’s time.
  • Enhances professional growth and development through participation in educational programs, current literature, in-service meetings, and workshops

Requirements:

  • High School Diploma or equivalent.
  • 3 years of Administrative Assistant experience.
