We are seeking a detail-oriented and organized CMMS Data Entry & Administrative Associate to support the implementation and population of our Computerized Maintenance Management System (CMMS). This role is critical to ensuring all mechanical assets within our production plant are accurately documented and maintained within the system, including associated preventative maintenance (PM) schedules.

The ideal candidate will play a key role in improving maintenance efficiency and asset reliability by translating technical manuals and equipment documentation into structured, actionable data for our engineering and maintenance teams.

Essential Functions:

  • Review machinery manuals, technical documents, and equipment records to extract relevant maintenance and asset data
  • Accurately input and organize asset information into the CMMS software
  • Develop and populate preventative maintenance (PM) schedules based on manufacturer recommendations and internal standards
  • Ensure all plant equipment and mechanical assets are properly cataloged and categorized within the system
  • Maintain data integrity by verifying accuracy, consistency, and completeness of entries
  • Collaborate with engineering and maintenance teams to clarify data requirements and resolve discrepancies
  • Assist in standardizing naming conventions, asset hierarchies, and maintenance procedures within the CMMS
  • Update records as needed to reflect equipment changes, upgrades, or new installations
  • Perform general administrative support tasks related to maintenance documentation and reporting

Experience and Qualifications:

  • High school diploma or equivalent required; Associate’s degree or technical background preferred
  • 1–2 years of experience in data entry, administrative support, or maintenance-related roles
  • Strong attention to detail and accuracy in data management
  • Ability to interpret technical manuals and equipment documentation
  • Must be able to read, write, and communicate in English fluently
  • Proficiency in Microsoft Office (especially Excel)
  • Experience with CMMS software (e.g., SAP PM, Maximo, Maintenance Connection, etc.) is a plus
  • Strong organizational and time management skills
  • Effective communication skills and ability to work cross-functionally

Work Environment:

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phone, copiers, faxes, and filing cabinets. This position will also work in an operations environment with odors and/or dust as well as cleaning and laundry chemicals.

The Office Admin is not limited to the above-mentioned job description and may be requested to do additional tasks as directed by MasterCorp Management.

Physical Requirements:

This position frequently requires standing, walking, pushing, pulling, moving, lifting (up to 25 lbs), bending, reaching, occasional ascending/descending, and repetitive motions. Employee must be able to perform the

essential functions of the position satisfactorily, reasonable accommodations may be made to enable employees with disabilities to perform the essential functions of their job.
