Job Description

The Administrative Assistant provides high-level administrative and operational support to the lead of an office or division and the broader department. This role ensures the efficient execution of daily departmental activities, coordinates critical communication, manages sensitive information, and supports strategic initiatives that enhance organizational security functions. The ideal candidate is proactive, highly organized, and able to work with discretion in a fast-paced environment.

Key Responsibilities

  • Manage calendars, schedule meetings, coordinate travel, and prioritize engagements.
  • Prepare, review, and distribute reports, presentations, briefings, and confidential correspondence.
  • Serve as a central point of contact for internal and external stakeholders on behalf of who you support.
  • Track and support execution of departmental projects, deadlines, and operational tasks.
  • Coordinate security-related meetings, including agenda development, minutes, and action item follow-up.
  • Assist with procurement requests, budget tracking, invoice processing, and vendor coordination.
  • Maintain secure filing systems, records, and documentation in accordance with company policies and compliance requirements.
  • Monitor and manage department communications, ensuring timely responses and proper handling of sensitive information.
  • Support onboarding, training coordination, and administrative tasks.
  • Help streamline department workflows through process improvements and administrative best practices.
  • Assist other Administrative Assistant positions when others are out of the office.

Requirements

  • 5+ years of administrative or executive assistant experience, preferably supporting leadership roles.
  • Experience working with sensitive or confidential information; security or government sector experience is a plus.
  • TS/SCI with CI Poly required prior to consideration.
  • Strong proficiency with Microsoft 365, including Outlook, Teams, SharePoint, Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Professional discretion, reliability, and attention to detail.
  • Ability to work independently and proactively anticipate needs.

Education

High school diploma/GED plus five years of experience desired.

Additional Preferred Skills

  • Experience supporting security, compliance, or risk management functions.
  • Familiarity with security operations workflows or incident response protocols.
  • Ability to work effectively with cross-functional teams and external partners.
