Provides a wide range of administrative support for the Captain and Sergeants on staff at the Training Academy. Works with applicants and other departments throughout the hiring process including coordinating pre-employment briefings, creating and maintaining applicant files and spreadsheets, coordinating job offers and new hire orientations, and initiating new hire paperwork. Maintains budgetary items for yearly budget projections and creates, tracks, and reconciles requisitions. Assists in planning TCOLE Advisory meetings and maintains and updates TCOLE Advisory binders with meeting documents and notes. Responds to open records requests.

Examples of duties

  1. Coordinates pre-employment briefings. Creates applicant invitations and sends them required paperwork.
  2. Answers calls and e-mails regarding Academy functions. Serves as contact for all applicants and directs them throughout hiring process.
  3. Contacts new hires and makes job offers. Schedules new hire orientation and coordinates with Sheriff Personnel and County Human Resources.
  4. Maintains spreadsheet of applicant status. Coordinates and tracks all required polygraph, psychology, and medical testing for applicants. Notifies applicants of discontinuation from the application process.
  5. Creates and maintains applicant files and documents and distributes files to investigators. Contacts and creates files for reservists and updates Chief of Academy.
  6. Creates all requisitions and maintains and reconciles records of purchases.
  7. Assembles data and prepares monthly activity report for the Training Academy for yearly budget and TCOLE Advisory Board.
  8. May direct the work of front desk receptionist.
  9. Attends meetings at Resource Connection for Captain if needed.
  10. Takes notes at staff meetings and TCOLE Advisory Board meetings.
  11. Schedules and assists with TCOLE Advisory Board meetings and communicates with all members.
  12. Maintains and updates data for TCOLE records.
  13. Answers and assists with open records requests.
  14. Coordinates travel arrangements for Academy staff.
  15. Performs all other related duties as required.

Qualifications

  • High school diploma or equivalent. Associate's degree preferred.
  • Four (4) full-time years of clerical work experience.
  • Strong organizational skills.
  • Must have experience with spreadsheets, databases, and MS office software.
  • Excellent communication, interpersonal, and multi-tasking skills are necessary to interface with public and Tarrant County employees.
