STARTING SALARY: $1,491.85 Bi-weekly (In accordance with current spending restrictions, an internal promotion into the position will be filled at the minimum of the pay grade or up to 5% of the employee’s current rate, whichever is higher).

This is work providing high-level administrative support by conducting research, preparing reports, handling information requests, assisting with program management, assisting constituents, and performing administrative and clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Incumbents may also train and supervise lower-level clerical staff. Some posit141ions in the occupation may be responsible for coordinating work and supervising employees.

T his position serves as administrative support for Regional Director. Represents the director in matters as authorized. Provides general support to eight (8) circuits as needed and coordinates Regional AA II conference calls. Reads and responds to the North Regional Director’s emails that contain various types of confidential information. Reviews the work of this eight (8) circuits, coordinating their activities and advising them on matters of policy and administration. Receive and distributes information from Headquarters. Compiles responses to assignments to be sent to Headquarters, some are confidential in nature.

Processes a variety of correspondence investigates subject matter and drafts replies. Review and coordinate information regarding new policies and procedures. Determines appropriate level of response to inquires and submits assignments to Headquarters. Assist Regional Director with assignments given to the eight (8) circuits in the North Region.

Coordinates travel arrangements and completes authorization forms for Regional Director and maintains Director’s calendar. Completes registration information for conferences. Coordinates conferences for the North Region. Assists the eight (8) circuits with preparing Authorization to Incur Travel Forms, submits the authorization to HQ for approval and completes Regional Director’s travel vouchers. Collect information for conferences and training held in the North Region.

Complete special assignments (some of which contain confidential information). Conducts fact-finding requests, collect and analyze data, and prepare reports. Coordinates and maintain conference rooms and meetings calendars.

Tracks Central Communication Center (CCC) Reports. Follows up when information is not received or additional information is needed. This includes “special” instructions, program review and administrative reviews, entering information in the reports when required. Tracks and review internal investigations and set up files.

Serves as the Volunteer and SkillPro Training Coordinator. Enters DRAI classes, registers staff and enters scores when class is completed into the SkillPro System. Serves as a receptionist for the North Region Office, public inquires, and calls from Headquarter and Circuits.

Prepares, submits and tracks hiring requisitions in the People First System. Assist staff with timesheets, track disciplinary action packets for the North Region. Sets up and maintains personnel files for Chief Probation Officers in the North Region. Assist and provide back up to Region’s Administrative Assistants (Human Resource Personnel Liaison).

Distributes and processes dual employment, tuition waivers, and process and receive ID badges for the North Region Circuits. Collect Good News items for submission to the Assistant Secretary of Probation’s office. Maintain and update COOP plan/phone tree. Responsible for updating North Region web information.

KNOWLEGDE, SKILLS AND ABILITIES:

Must be employed by the Department of Juvenile Justice as this is an Internal Job Posting.

Knowledge of business formats and office procedures.

Knowledge of and ability to use Microsoft Office Software including, Word, Excel, Power Point and Outlook.

Knowledge of administrative principles and practices.

Knowledge of the methods of data collection and the principles and techniques of effective communication.

Ability to collect, evaluate and analyze data relating to administrative functions such as accounting, human resources, purchasing & report writing.

Ability to prepare correspondence and administrative reports.

Understand and apply applicable rules, regulations, policies and procedures.

Ability to utilize problem solving techniques.

Ability to work independently, plan, organize and coordinate work assignments and communicate effectively.

Ability to establish and maintain effective working relationships with others.

MINIMUM QUALIFICATIONS:

A high school diploma is required at the time of submission of the candidate profile.

PREFERRED QUALIFICATIONS

Experience with the State of Florida purchasing system (MFMP).

Proficient in Microsoft Word, Excel Spreadsheets, Power Point and Outlook.

Preference will be given to a candidate with three or more years of administrative related business experience.

This position may require flexibility in work hours, depending on workload.

If initially hired with an out-of-state license, the Florida resident must obtain a valid Florida state driver’s license within 30 days of hire. Licenses suspended or revoked for any reason, work permits (Business purpose/Employment/education only licenses) and some types of restricted licenses are not acceptable. Licenses that have Corrective Lenses Restriction are acceptable, provided the driver wears corrective lenses while operating the vehicle.
