In this role, you’ll support top executives by expertly managing complex calendars, coordinating meetings and travel, preparing impressive reports and presentations, and ensuring seamless day-to-day operations. Your proactive approach and organizational skills will contribute directly to our company’s success.The ISR (Intelligence, Surveillance & Reconnaissance), Aviation, and Security (IAS) business area is a leader in ISR and aviation, it is a leading prime manned and unmanned aircraft systems integrator for innovative, high-performance ISR and aviation systems. Its end-to-end Command, Control, Computers, Communications and Intelligence, Surveillance & Reconnaissance (C4ISR) capabilities encompass design, integration, test, certification, ground/flight training and complete logistics support. IAS tailors solutions to customer cost, performance, and schedule requirements and designs to consistently exceed expectations – with an unrivaled record of on time and on (or under) budget deliveries.

Responsibilities:

  • Efficiently manage complex inquiries from both internal and external sources.
  • Prepare, consolidate, and route detailed reports and presentations.
  • Create, edit, and manage complex spreadsheets to support various administrative tasks.
  • Prepare and submit expense reports and purchase requisitions.
  • Maintain databases and ensure accurate data entry in compliance with company policies.
  • Coordinate business meals, on-site meetings, and events, including all logistics.
  • Provide advanced support to IT and Facilities for conference room and public area maintenance.
  • Manage calendars for senior leaders, including meeting and travel arrangements.
  • Edit, format, and send communications, presentations, and documents.
  • Act as a liaison between executives and internal/external stakeholders.
  • Handle high-level administrative tasks with a focus on business operations.
  • Support onboarding and training for new employees.
  • Organize team-building and employee engagement activities.
  • Handle confidential information with discretion.
  • Assist in project planning, execution, documentation, and reporting.
  • Support budget planning and vendor management.
  • Sit at the front desk, support visitor check-ins, and manage office supplies.
  • Provide backup support to the administrative team as needed.

Qualifications You Must Have:

  • High school diploma or equivalent.
  • 3+ years of relevant experience in office administration or administrative support.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams, OneNote, SharePoint Online) and travel/expense platforms (e.g., Concur).
  • General knowledge of administrative practices, including expense reporting, purchase requisitions, and coordinating meetings, events, and travel.
  • Foundational knowledge of project management applications (e.g., Microsoft Project, Smartsheet) and ticketing systems (e.g., Service Now).
  • Excellent communication, problem-solving, and organizational skills.
  • Professional demeanor and ability to handle sensitive information with discretion.

Qualifications We Prefer:

  • Associate’s degree in Business Administration or related field.
  • Experience in the Aerospace and Defense industry.
  • Advanced knowledge of Workday or similar HRIS systems.
  • Certifications such as PACE (Professional Administrative Certification of Excellence) or CAPM (Certified Associate in Project Management) are a plus.
  • Experience with Concur Travel and Expense platform or other travel management systems.
  • Experience working in a U.S. military or Department of Defense (DoD) environment.

Essential Functions:

  • Ability to lift up to 20 lbs regularly.
  • Ability to sit or stand for extended periods.
  • Proficiency with computers and office equipment.
  • Manual dexterity for handling office supplies and equipment.
  • Ability to work in an office environment.
  • Ability to travel may be required.

Estimated Starting Salary Range: $25.24 - $34.71. Compensation varies depending on a wide array of factors, such as candidates' key skills, relevant work experience, and education/training/certifications. The disclosed range estimate may be adjusted for any applicable geographic differential associated with the location at which the position may be filled.
