ESSENTIAL DUTIES:

  • Oversees all aspects of general office coordination.
  • Assist management team with procure to pay processes in SAP: prepare requests for new vendor and send for approval, create requisitions and receivers, code non-PO invoices, monitor/troubleshoot invoice payments across all different profit centers.
  • Assists Managers with preparing and maintaining various schedules for O&M and Capital budget support.
  • Prepares letters and other documents and spreadsheets, filing, mailings, incoming and outgoing mail and packages, meeting minutes for miscellaneous clerical support.
  • Coordinates/plans open houses, community events, employee events, meetings, etc.
  • Coordinates & maintains office equipment contracts, cleaning contractor, security system, building maintenance, etc.
  • Coordinates vehicle registrations with Essential Fleet Division
  • Maintains confidentiality in all aspects of customer and employee information.
  • Interacts with employees, customers, vendors and visitors.
  • Assists with monthly inventory and annual physical count, including chemicals.
  • Compiling data & preparing various monthly & quarterly operational reports (PUCO quarterly reports).
  • Acts as a notary public for the office. Maintains notary public certification
  • Orders Aqua logo items & keep inventory for community events.
  • Process invoices and responds to vendor inquiries related to Accounts Payable.
  • Organize receipts, code charges & create transaction reports for all P-Card holders.
  • Conducts research, compiles data and prepares papers for senior management as requested.
  • Cross Connection Control Program (CCCP):
    • Maintain accurate data on division CCCP, field questions to/from 3rd party administrator, process test reports received, provide guidance to customers, investigation-research/clean up issues with data and coordinate compliance enforcement processes (surveys/install and annual testing requirement)
    • Annual Device Testing Requirements Compliance: contact non-compliant customers (prepare door tags, letters, make phone calls), create or request services orders for TOFFs or field follow up - note accounts and track for completion; receive and process test reports; update database as needed
    • Initial Surveys: prepare target lists/service orders for initial field surveys (5 yr clean-up effort); review information obtained during field survey and clean-up data as needed; track compliance of backflow installs required/schedule and coordinate TOFF for non-compliance with field employees; receive and enter initial surveys for all new customer accounts (ongoing)
  • Assist division management team with creating Funding Projects / Work Orders, Substitutions, Completion & Retirement reports in PowerPlan.
  • Take new service applications, collect capital investment fee, provide service standards and explain process; submit to Cust Ops for set up
  • Work with Customer Operations to create and send postcards to target aged meter list; send meters for bench testing, notify customer of outcome
  • Field Services Support
    • Banner: lookup account info, note accounts, create/view service orders, etc.
    • ServiceLink: view/assign service orders
    • Disruption Creator (Pipelines): create planned and unplanned Disruption notices
  • Assists and/or writes responses to Request for Information, Request for Quotation and Request for Proposals as needed for acquisitions.
  • Assists in obtaining necessary paperwork from Developers as directed by the State Engineer.
  • Manages memberships, state president calendar, sponsorships, and events.
  • Manages and implements marketing materials for all meetings, open houses and mailings. Develops, updates and maintains a database of elected official’s contact information to distribute email blasts or other social marketing approved by Aqua.
  • Assists the State President in other administrative roles as needed. This includes, but is not limited to: leading our United Way Campaign / volunteer opportunities, sending out holiday cards, plan and execute the company holiday party, and arrange travel reservations and accommodations.
  • For charitable contributions they would process for payment, request advertisements as needed, coordinate delivery to appropriate charity
  • Assists in creating and distributing the Indiana state employee newsletter with communications team.
  • Performs other duties as assigned, responsibilities in the division and office can change and tasks must be completed to operate the business effectively.

QUALIFICATIONS:

  • High school diploma or equivalent
  • A minimum of 3 years experience in general office responsibilities and procedures.
  • Current Notary certification or must obtain certification within 6 months of employment.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Strong customer service skills
  • Excellent organizational skills and attention to detail
  • Proficiency in an array of Microsoft applications-Word‚ PowerPoint and Excel
  • Good writing, analytical and problem-solving skills
  • Ability to communicate effectively
  • Ability to operate standard office equipment, including but not limited to, computers, telephone systems, postage machines
  • Ability to work well under pressure
  • Ability to work on multiple projects simultaneously and adapt to changing priorities in a fast-paced environment.
  • A team player able to work effectively in a team fostered multi-tasking environment

WORKING CONDITI ONS/PHYSICAL DEMANDS:

  • Perform sedentary work- exerting up to 20 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
