Basic Purpose

Positions in this job family are assigned responsibilities for providing administrative support to program areas. Provide direct administrative and operational support to the Oklahoma First Responder Wellness Division. This position ensures efficient day to day operations, supports leadership, coordinates communication, and assists in the delivery of wellness services to first responders across the State of Oklahoma. The role is critical to maintaining organization, responsiveness, and professionalism in support of the division's mission.

Typical Functions

The functions performed in this job family will vary by level, unit and organization, but may include the following:

  • Manage daily administrative operations including scheduling, correspondence, and document preparation.

  • Coordinate meetings, trainings, and events with internal staff, partner agencies, and external stakeholders.

  • Serve as a point of contact for incoming communication and ensure timely and professional responses.

  • Assist with tracking budgets, purchase card usage, and basic financial documentation in coordination with appropriate personnel.

  • Maintain organized records, files, and reporting systems in compliance with state requirements.

  • Support program logistics including travel coordination, training materials, and event setup.

  • Assist leadership with special projects, presentations, and reports.

Levels are distinguished based on the complexity of assigned duties, the level of expertise required for completion of work assignments, and the responsibility assigned for the supervision of others.

This is the full performance level where duties and responsibilities assigned are at the full performance level. Employees will establish and maintain positive working relationships, respond to internal and external customer inquiries according to applicable policies and procedures in written and oral form, perform assigned administrative and operational tasks, this may include editing and auditing various reports for accuracy and ensuring errors are corrected, inventory control and similar duties, and participate in team, unit, or office projects to improve the effectiveness and efficiencies in delivering agency services.

Knowledge, Skills, Abilities and Competencies

Knowledge, Skills, and Abilities required at this level include knowledge of spelling, punctuation, and business English; of business mathematics; of modern office methods and procedures; establishing and maintaining records; and major policies and procedures governing assigned programs.

Strong organizational and time management skills with attention to detail. Ability to communicate clearly and professionally both in writing and verbally. Working knowledge of Microsoft Office applications including outlook, Word, Excel, and Teams. Ability to manage multiple priorities in a past paced environment.

Education and Experience

Education and Experience requirements at this level consist of a bachelor’s degree plus one year of technical clerical, administrative, secretarial, or general office work, or an equivalent combination of education and experience. High school diploma or equivalent required. Minimum of two years of administrative or office support experience required, preferably in a government, public safety, or healthcare environment preferred. Experience supporting leadership or executive level staff is preferred. Experience with state systems, purchasing processes, or financial tracking is a plus.

Special Requirements

Ability to pass a background check. Valid driver license. Ability to travel occasionally within the State of Oklahoma. Availability to support occasional after hours events or critical incidents as needed. Ability to maintain professionalism in high stress or sensitive situations.
