Circuit 18 - Administrative Assistant I

Anticipated Vacancy - INTERNAL

Administrative support for the Child Protection Region Operations performing a variety of complicated secretarial, administrative and office managerial responsibilities.

  • The incumbent will act as the HR liaison, facilitating, communicating and submitting documents/requests to HR. i.e, new hire packets, Request Personnel Actions, position descriptions, Classification Request Forms, etc.
  • Performs a variety of complicated secretarial, administrative and office managerial responsibilities. Makes travel arrangements, document preparation and submission for payment. Receives and reviews incoming correspondence that does not require personal attention of the Child Protection Region Operations and distributes/routes to the appropriate staff. Prepares draft acknowledgement letters as requested.
  • Arranges conference/meetings; set-up meeting spaces. Coordinates with the various central office staff, regional program and support services staff other local and state DCF offices, other agencies, public and private groups, etc. Provides participants with background information; time, date, place and issues to be discussed and takes minutes as requested.
  • Managers calendar and screens requests for meetings, attendance at conferences and other appointments, Refers request to other appropriate offices.
  • Acts as liaison between his/her immediate staff as well as other personnel to transmit messages and information of importance. Answer inquiries from various personnel on procedures and policy, information desired or suggested contact with other personnel.
  • Performs other related duties.
  • Attends staff meetings and trainings as requested by the Operations Manager.
