We have an excellent opportunity for a full time Administrative Assistant I for the Fleet Maintenance department in the Chino, CA office. The Administrative Assistant will provide administrative and clerical support to the Fleet Maintenance department. This Associate will report to the Fleet Maintenance Manager.

The Fleet Maintenance department is responsible for overseeing all Fleet Maintenance teams at In-N-Out Burger, to include: Automotive & Fleet, Parts & Inventory, Vendor management, and Fuel Tender/Truck Washers.

General Responsibilities

• Manage all administrative, office, and clerical tasks for the Fleet Maintenance Manager and leaders, as well as provide office admin support to the Fleet Maintenance department
• Responsible for maintaining the schedule and arrange meetings; Heavy calendaring
• Manage travel and expense reports for leaders in the department
• Participate in meetings, taking detailed notes and ensuring action items are followed up
• Be proficient in Microsoft Outlook and Microsoft Office suite; Strong computer skills
• Schedule meetings, Handle emails, Create memos and communication for other departments
• Help plan office events and team building activities, such as arranging anniversary and birthday lunches, Associate events, send out invitations, etc.
• Prepare reports, arrange appointments, maintain and update filing systems
• Perform minor custodial tasks to maintain a clean and organized workspace, order break room supplies, manage office inventory; Order supplies for the office
• Work with other administrative assistants in other departments to set up meetings
• Exhibit high level of confidentiality; Will work with private and confidential information
• Excellent communication and writing skills – will draft correspondences, prepare reports and presentations

Work Schedule + Benefits

• Office hours in Baldwin Park, CA: M-F, 7:00am-3:30pm
• Full-time position, Hourly Non-exempt
• Pay Range is $25.00 - $28.00 per hour

The above represents the expected pay range for this job requisition. Ultimately, in determining your pay, we will consider your experience and other job-related factors.

Qualifications for INO associates

• In-N-Out Burger Store experience: 2+ years (past or current Store experience)
• In-N-Out Burger Support experience: 1+ year in a Support or Office role preferred
• Must be computer and desktop PC savvy - Knowledge and use of Microsoft office suite programs
• Excellent written and verbal communication skills; Strong writing organizational skills

Additional Qualifications

• 1-2+ years’ experience in an In-N-Out corporate Support role, preferably in an administrative, office admin, clerical, or project management role
• A proactive attitude with a strong desire to learn about Maintenance
• Excellent computer skills and knowledge of Microsoft office software, including Word, PPT, Excel and Outlook
• Excellent written and verbal communication skills; communication with all levels of management
• Ability to handle multiple priorities with attention to detail and accuracy
• Ability to work in a deadline-drive environment
• Strong time management and interpersonal skills
• Comfortable handling confidential information
• Proven history of providing outstanding customer service while proactively troubleshooting/problem solving
• Proven ability to work on multiple projects simultaneously while remaining organized, efficient and flexible
• Highly motivated self-starter
• Ability to work autonomously and independently, yet be an integral part of an overall team environment
