Job Details:

The administrative assistant will play a crucial role in providing administrative support to senior leaders by ensuring smooth operations within the organization. Great attention to detail, excellent communication skills, and ability to multitask is essential. The administrative assistant will be responsible for managing correspondence, scheduling appointments, organizing meetings, and maintaining accurate records. The AA will be expected to handle inquiries, manage calendars, and coordinate travel arrangements. Additionally, the AA will assist in preparing reports and presentations, as well as maintaining office supplies and equipment. The AA must have strong administrative skills, including proficiency in Microsoft Office applications. The AA should also possess excellent time management and organizational skills, as well as the ability to prioritize tasks effectively, exceptional communication skills, both written and verbal. Must be able to maintain confidentiality and performs effectively with individuals at all levels.

Department Specific Job Details:

Works independently with minimal supervision performing a variety of administrative, secretarial/ clerical duties for Administration office staff, as well as others within and outside of Dayton Children’s. Adheres to confidentiality guidelines, is sensitive to customer service/patient experience issues and collaborates interdepartmentally with the Executive Office, and Dayton Children’s departments/divisions. Ability to work in a fast paced environment demonstrating flexibility. Positively represents Ambulatory Administration and Dayton Children’s as first line communicator for the department and for all internal/external customers.

Hours: M-F 8 Hour days, no weekends.

REQUIRED: High School/GED. 3-4 Years experience within a complex office environment. Typing 60+ wpm, Word Processing, Medical/Non-Medical Language. PREFERRED: Associate's Degree - specializing in office procedures, computers, and general courses. Proficient in Word, Excel, PowerPoint, Publisher, Nuance, Internet.
