Requirements:

  • A high school diploma or equivalent
  • Two (2) years of administrative support experience.
  • Valid Florida driver’s license.

Preferences:

  • Proficient in Microsoft Office.
  • Experience with purchasing or managing contracts.

Minimum Qualifications for this position include the following REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of correct spelling, punctuation and grammar usage.
  • Skill in typing and word processing
  • Ability to type letters, memoranda, charts and other standard business forms in correct formats
  • Ability to plan, organize and coordinate work assignments
  • Ability to communicate effectively, verbally and in writing
  • Ability to establish and maintain effective working relationships with others.
  • Ability to understand and apply applicable rules, regulations, policies and procedures
  • Ability to work independently

SPECIAL NOTES:

Employees of the Department of Financial Services are paid on a monthly pay cycle.

This position requires a security background check, including fingerprint as a condition of employment.

BRIEF DESCRIPTION OF DUTIES

  • Greeting and assisting customers; answering incoming calls.
  • Sorting and opening generic and miscellaneous mail to determine appropriate respondent.
  • Maintaining all duties related to the PIRQ supply system to provide system access to customers, ensuring proper stocking levels of supplies are maintained, analyzing data in requisition of stock items weekly, printing requisitions, verifying amounts, and preparing orders for delivery; receiving stock orders from vendors; verifying quantity, condition, and enter receiving information into the PIRQ system; resolving discrepancies; filling PIRQ customer requisitions; printing invoices, ensuring requested items are issued in the requested quantity, providing weekly status reports on PIRQ supplies, ensuring couriers deliver paper goods and bulk items as ordered, providing customers information and assistance concerning stock availability; providing fiscal year-end inventory and maintenance reports.
  • Serving as contract coordinator for postage and office equipment required for the business area; reviewing and reconciling invoices when received from vendor for management review and approval; obtaining pricing when procuring equipment for management review and approval.
  • Prepares appropriate distribution costs to the various divisions and represents the Department in resolving billing disputes.
  • Maintaining chronological files, office correspondence, documents, and other related materials.
  • Collecting, reporting, and verifying unit vehicle information; updating information in the automated FLEET Management System, for vehicles assigned to Mail Services.
