Administrative Assistant (Hybrid) – The Woodlands, TX

What are we looking for?

The Administrative Assistant (Hybrid) will be responsible for assisting the coordination team and Technical Specialists in various tasks to help ensure equipment is properly inspected in a timely manner, conforming to client requirements, and that field-based Technical Specialist have all the necessary information (assignment instructions, purchase order, specifications, ITP’s, report forms, etc.) to conduct the work.

Shift/Schedule: This is a Regular, Full Time position working 40 hours per week with a hybrid schedule of working in the office and remotely from home.

Location: The Woodlands, TX

What you’ll do:

• Assists more senior coordinator in administrative coordination tasks such as assignment setup, report processing, sourcing of inspectors, and travel arrangements for inspectors
• Provides clear and concise assignment instructions to the Technical Specialists in accordance with client’s instruction(s) and contractual documents
• Interfaces with the Technical Specialists to ensure that reporting is both detailed and timely

• Verifies that inspectors are paid correctly and on time by auditing and approving inspector timesheets for accuracy during the indicated payroll period, for example, confirming that hours and miles match those submitted on the report to the client, expense receipts are acceptable/legible

• Interfaces with other Intertek offices as needed when work scope dictates that the inspection be performed overseas
• Manages assignments in company’s proprietary work process management system.
• Use available systems and procedures to source properly qualified and competent Technical Specialists for assignments
• Potentially serve as main point of contact and liaison between Intertek and a couple smaller customers in preparation for moving to a regular coordination position
• Other administrative duties as assigned

Minimum Requirements & Qualifications:

• 0 - 2 years of relevant experience – preferably in the Oil, Gas, and Energy market sector.

• High degree of personal integrity and the ability to collaborate with others.

• Proficiency with Microsoft windows office suite required.

• Excellent verbal and written communication skills essential.

• Must possess the fundamental technical and administrative skills required to perform the job duties

Preferred Requirements & Qualifications:

• Bachelor’s Degree preferred, but not required.
