Job Description

This position works year round, 8 hours daily, Monday - Friday. Base hourly rate is $18.81 with additional compensation for work-related experience and level of education.

Purpose: The Administrative Assistant provides office and clerical support to assist with the efficient operation of the school district. The Human Resources Office serves to support the recruitment and support of classified and certified district employees. To accomplish these tasks, the Administrative Assistant works closely with the staff and administration of USD 253.

Responsible to: Assistant Superintendent of Human Resources

Payment rate: As established by the Emporia Board of Education

Qualifications:

  1. High school diploma or equivalent.
  2. Experience as a secretary or office manager.
  3. Demonstrated clerical, technical and communication skills.
  4. Health and Inoculation Certificate on file in the Central Office.
  5. Such alternatives to the above qualifications as the board may find appropriate and acceptable.

Essential Functions:

  1. Effectively manage the day-to-day operations of the Human Resources Office.
  2. Provide office and clerical support for administrative services to assure efficient operation of the school district.
  3. Screen visitors; telephone calls; and electronic messages, directing them to the appropriate person/department.
  4. Process incoming/outgoing mail for the Human Resources Office.
  5. Appropriately operate all equipment as required.
  6. Compose, type, and prepare materials for distribution to include correspondence, reports, bulletins, records, and other documents.
  7. Obtain, organize, and maintain data as required to support personnel functions.
  8. Serve as the district Substitute Teacher Coordinator.
  9. Provide information and assistance to district administrators/directors in hiring and supporting employee processes.
  10. Maintain an efficient system for maintaining records.
  11. Efficiently manage routine procedures, notification of report deadlines, etc.
  12. Schedule appointments, make travel arrangements, and assemble material for meetings and other activities.
  13. Assist in planning meeting agendas, recording minutes, and preparing meeting summaries.
  14. Inventory materials and supplies, submit requisitions, verify orders, and execute distribution to staff.

Physical Requirements/Environmental Conditions:

  1. Requires prolonged sitting or standing.
  2. Occasionally requires physical exertion to manually move, lift, carry, pull, or push heavy objects or materials.
  3. Occasionally requires stooping, bending, and reaching.
  4. Must work in noisy and crowded environments.
  5. Occasional in-town travel.

General Responsibilities:

  1. Support and facilitate the mission and vision of the Emporia Public Schools.
  2. Support the ongoing school improvement process as outlined by the Teaching and Learning Department.
  3. Obtain instructional resources and materials through processes outlined by the Business Department.
  4. Support licensed and classified personnel functions through processes outlined by the Human Resources Department.
  5. Effectively utilize the expertise of other district professionals and/or outside consultants.
  6. Develop and maintain documentation relative to program responsibilities.
  7. Organize routines to provide for efficient operation of the school.
  8. Stay abreast of new technologies to facilitate and support student learning, data management, and communication.
  9. Comply with legal and regulatory requirements as provided by district policy; state and federal law.
  10. Uphold and enforce board policy, administrative procedures, and school rules/regulations including but not limited to:
  • Acceptable use of technology
  • Sexual and racial harassment
  • Child abuse reporting
  • Health and safety including all precautions of the Bloodborne Pathogens Exposure Control Plan
  1. Communicate effectively with administrators, parents, staff, and community organizations.
  2. Interact with students, parents, and staff in a professional manner demonstrating tolerance of individual differences, patience, and sensitivity.
  3. Demonstrate professionalism through appropriate work habits, including regular and punctual attendance; accurate recordkeeping and timely submission of required reports; participation in building/district level committee tasks; etc.
  4. Continuously strive to improve professional performance.
  5. Respect the confidentiality of records and information regarding students, parents, and teachers in accordance with accepted professional ethics, and state and federal laws.
  6. Maintain safe and well-organized work spaces.
  7. Be prepared to implement the Building Crisis Plan; actively participate in response drills.
  8. Respond to change in a productive manner.
  9. Strive to communicate the positive aspects of our school program to the public in word and deed.
  10. Other duties as assigned by the Associate Superintendent of Human Resources.

Emporia USD 253 encompasses the city of Emporia, Kansas, with a population of approximately 25,000 residents, and surrounding rural areas. Current K-12 enrollment is approximately 4,200 students, and enrollment reaches 4,700 when preschool and adult programs are included.
