Job Description

Midwest Transit Equipment, Inc. seeks a Full-Time Administrative Assistant for our Nixa, MO location.

Primary duties and responsibilities will include but not limited to:

  • Field all calls for sales, parts and service after two rings to ensure every call is answered.
  • Review parts requests for service orders and maintain ETA’s
  • Greet walk-in customers and assist them.
  • Request titles for sold buses and enter receipt into Sales Force.
  • Prepare bus delivery documents.
  • Contact customers to schedule delivery of sold and repaired buses
  • Scan invoices and completed bus delivery documents into Docuscan.
  • Update Proceed system when buses are sold and delivered.
  • Scan / deposit checks received for bus payments or parts and service payments.
  • Enter credit card payments for parts and service.
  • File Kansas and Missouri monthly sales report with each state, including Swansea’s sales.
  • Reconcile Petty Cash monthly and prepare check request to replenish.
  • Process daily mail and distribute as needed.
  • Order office supplies as needed.
  • Contact customers to follow up with their service repairs and new bus deliveries.
  • Update IC 360 (My International) notes daily or throughout the day if updates are needed.
  • Add job lines to repair orders if Service Manager is otherwise occupied to keep the workflow going in the shop.
  • Assist in coding jobs on repair orders to match the task being performed by the tech & to get the correct SRT on the repair.
  • File basic warranty claims under service manager supervision.
  • Schedule drivers for all bus deliveries.
  • Maintain DOT records for JJ Keller

Education and/or Work Experience Requirements:

  • Notary Public required
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal & external customers
  • Excellent computer proficiency (MS Office – Word, Excel)
  • Strong attention to detail
  • Must be able to work under pressure & meet deadlines, maintain a positive attitude & providing exemplary customer service
  • Ability to work independently and to carry out assignments to completion in a timely manner
  • Must be a team player with a strong sense of commitment to the customer
