What you will be doing:
Collaborate with the Administrative Manager in the following activities:
Manage the company car fleet of 140 vehicles, including lease contracts, invoice control, and related administration.
Handle company mobile phone contracts (c. 200) and coordinate hardware orders.
Maintain corporate office facilities, including setting up meeting rooms and ensuring smooth day-to-day operations.
Support equipment maintenance activities, both preventive and corrective.
Monitor utilities services (electricity, water, gas, telephony, etc.) at headquarters, responding promptly to emergencies or alarms.
Procure stationery, furniture, furnishings, and all non-core company assets in line with Group policies.
Coordinate contractual arrangements for assigned services and goods, managing relationships with suppliers.
Validate supplier invoices and prepare KPI reports to ensure accurate financial control.
Provide support for external tasks, such as visits to banks, car rental companies, or post offices.
Act as backup for the Admin & Facility Manager during periods of absence.
Assist with organisation and administration of events and meetings.
The ideal person:
Possesses a diploma or degree, with at least three years’ experience in a similar fleet and administrative role.
Demonstrates knowledge of managing supply contracts, rental agreements, and leasing arrangements.
Applies strong skills in Microsoft Office; experience with SAP is a plus.
Communicates effectively in both English and Italian, verbally and in writing.
Holds a valid B driving licence and is comfortable travelling for occasional external tasks.
Collaborates effectively within a team, demonstrating a proactive and supportive attitude.
