Job Description

The Opportunity:

The Corporate Safety Administrative Assistant is responsible for the administrative functions of the safety department and provide clerical support for the Corporate Director of Safety, the safety team, and the SME organization.

Responsibilities: 

  • Oversee the maintenance and accuracy of safety databases and compliance platforms (e.g., ISN, Avetta).
  • Ensure safety documentation and data remain current, accessible, and support proposal/RFP needs.
  • Administer Red Wing boot program and answer Team Member questions.
  • Manage the Safety Data Sheet (SDS) program to ensure proper documentation and accessibility.
  • Maintain the vehicle recall list and communicate required steps to affected Team Members.
  • Monitor, order and distribute all PPE for all Plymouth Team Members and support regional offices where needed.
  • Provide administrative support for fleet and field technology programs such as GPS monitoring
  • Support the development, editing, and maintenance for Safety Manual content
  • Maintain accurate Safety training records and monitor training compliance.
  • Assist with administrative functions related to Regional Safety Coordinator activities.

Requirements:

  • Competency using computer operating systems and current MS Office Suite programs (Word, Excel, Outlook, Teams, and PowerPoint).
  • Experience in an administrative office role.
  • Excellent proofreading skills related to word usage, flow, and punctuation.
  • Excited to learn new programs/processes/technology and grow professionally.
  • Comfortable communicating via phone, text, email, and Microsoft Teams video calls.
  • Ability to understand and adapt to change and react productively to frequent interruptions and changing conditions. Also, able to independently focus and work on deliverables requiring ~1-2 hours of dedication.
  • Ability to work independently and as a part of a team. Must be a self-starter
  • Ability to reprioritize throughout the day as urgent needs arise.
  • Comfortable meeting tight deadlines and adapting to changing project needs with little to no notice.
  • Willing to work occasional overtime, weekends, and travel overnight (rare) to meet the needs of our clients.
  • Experience in processing confidential information and understanding privacy laws and Company policy governing employee information.
  • Constant operation of a computer and other office productivity machinery, such as calculator, photocopier, and computer printer
  • Position is sedentary; must be able to remain in a stationary position for most of the time.
