Job Description

:: KEY ACCOUNTABILITIES :::

General Administrative Support

  • Arrange meetings and events, including preparing attendee lists, sending invitations, coordinating room setup, arranging catering, taking minutes, and following up on action items.
  • Support departmental travel logistics such as booking cars, flights, hotels, and handling reimbursement processes.
  • Coordinate with relevant teams for courier services and document distribution.
  • Manage and monitor the department's SharePoint site and shared mailboxes.
  • Perform other administrative tasks assigned by the supervisor.

Contract & Procurement Support

  • Support Supplier Information Registration by gathering required documents from suppliers and coordinate with Finance team for supplier creation or updates in the ERP system.
  • Follow up Release Order (RO) and Purchase Order (PO) acknowledgements to ensure timely responses from vendors.
  • Perform monthly PO close-out activities in the ERP system.
  • Assist team with contract/letter/report signing workflows, documentation routing, and maintaining physical and electronic filing.
  • Track insurance certificates, stamp duty requirements, and other compliance-related documentation.
  • Provide support to the Buyer team in managing low-criticality POs.

Communication

  • Ensure smooth/clear communication both internal as well as external including delivery of confidential/sensitive information to the concerned parties.
  • Independently handle internal and external correspondence and adhere to record retention policies and procedures.
  • Check deadlines on incoming requests and put preliminary work in play.

: QUALIFICATIONS :::

Knowledge & Qualifications:

  • Bachelor's degree in Business Administration, Supply Chain, or related field.
  • In depth knowledge and understanding of relevant administrative clerical procedures and their importance to the overall function.

Experience:

  • At least 3 – 5 years of relevant experience in administrative support or procurement-related roles is an advantage

Skills:

  • Excellent both in Thai and English Communication skills both written and verbal.
  • Technology Savvy with strong computer skills with knowledge of MS Office Suite is essential.
  • Time Management, Planning and Organizing skills
  • Interpersonal skills with Proactive, service-minded, and able to work independently or as part of a team.
