The University of Arizona Cancer Center (UACC) seeks an Administrative Assistant to provide comprehensive administrative support to the Associate Director (AD) of Cancer Research Teaching & Education Coordination (CRTEC). This position is responsible for document preparation, scheduling meetings and events, arranging and reconciling travel, updating the website, keeping records, managing supply inventory, and entering data. This position requires a high degree of professionalism, discretion, initiative, organization, accuracy, attention to detail, judgment, and the ability to set priorities and handle multiple projects with limited supervision.

Duties & Responsibilities

Provide administrative support to executives and other senior staff:

  • Provides high-level executive support to the AD CRTEC.
  • Take and transcribe minutes of meetings.
  • Maintain recordkeeping for grant reporting.
  • Schedule and coordinate appointments and meetings.
  • Provide administrative support to units within CRTEC as approved by the AD of CRTEC.
  • Serve as the point of contact for concerns and queries related to CRTEC administration.
  • Provide assistance and customer service as needed.
  • Manage the AD CRTEC calendar and travel, including reconciliation.

Assist with special projects as needed:

  • Manage data for special projects.
  • Schedule meetings, reserve meeting rooms, and establish virtual meeting connections.
  • Prepare and facilitate CRTEC events, retreats and symposia.
  • Collaborate with CRTEC units to update web and brochure content.

Manage office operations and logistics:

  • Purchasing of supplies and reconciliation of P-card transactions.
  • Order computer equipment, submit IT tickets, and manage BioCom A/V requests.
  • Maintain up to date information on the office calendar to include events, team availability and team time off requests.
  • Schedule trainings and assist with preparing training materials.

Maintain and organize office records and systems:

  • Perform administrative tasks by researching systems, operations, and procedures.
  • Participate in the development of standard operating procedures (SOPs) .
  • Maintain and update spreadsheets and databases.
  • Assist with the management of the cancer center listserv.
  • Upload data into various UACC systems.
  • Assists with financial processes, including entering financial payment requests in UAccess Financials.
  • Monitor, review, and approve standard expenditures to ensure the activities of the office are conducted within established budgets.

  • Advanced knowledge of Microsoft Office Suite.
  • Knowledge of administrative principles and practices.
  • Skill in planning, analyzing and coordinating activities and establishing priorities.
  • Ability to work independently and maintain confidentiality.
  • Ability to problem solve and make decisions.
  • Ability to handle stressful situations.
  • Ability to work efficiently in a fast-pace work environment.
  • Ability to effectively communicate.

Minimum Qualifications

  • High school diploma or high school diploma equivalency is required.
  • Minimum of 5 years of relevant experience, or equivalent combination of education and work experience.

Preferred Qualifications

  • Experience with UAccess, UAnalytics, and Canva.
