Serving as a key point of contact for the organization, you will collaborate closely with admin assistants and the lead EA, project managers, and leaders across Apple and external partners. You will provide direct administrative support to two leaders while also serving as a team resource for the broader org. Your support will be comprehensive and meticulous—ranging from daily calendar management and travel coordination to expense report submission and addressing a wide variety of day-to-day needs. You will also take ownership of office management responsibilities, including space planning, supply coordination, and maintaining an efficient and welcoming work environment. In addition, you will plan and execute team events, All Hands meetings, offsites, and other org-wide activities that foster collaboration and team culture. Your ultimate goal: to ensure leadership and the team are set up for success at all times.
The ideal candidate will demonstrate the ability to multitask while working in an innovative, change-oriented environment. You are self-motivated, proactive, team-oriented, and maintain a strong emphasis on organization with unwavering attention to detail. You exercise good judgment, have great communication skills, and own and complete tasks and projects independently with minimal direction. This role is based on-site, where you’ll be embedded with the team to provide real-time support and ensure seamless day-to-day operations during standard business hours.
AA or BS degree preferred
Experience with office management, space planning, or workplace operations
Experience planning and coordinating team events, All Hands meetings, or offsites
Ability to remain calm and focused under pressure, with flexibility to adjust priorities on short notice
Ability to exercise good judgment when exposed to highly confidential information
Ability to build collaborative relationships cross-functionally and work with global teams across multiple time zones
A forward-thinker who takes initiative, successfully manages multiple requests and projects simultaneously, and has a constant drive for process improvement
Proficient in Apple hardware and software, especially Calendar, Mail, Keynote, Numbers, and Pages
3+ years of experience in a corporate environment supporting leaders
Experience managing highly complex calendars, with the ability to foresee and resolve scheduling conflicts proactively
Excellent written and verbal communication skills, comfortable communicating with senior leaders and cross-functional partners
Proven track record of meeting deadlines and taking initiative to make confident, well-informed decisions
Excellent organizational skills, acute attention to detail, and ability to handle multiple tasks in a fast-paced, time-sensitive environment
Ability to maintain a consistent on-site presence to support daily operational needs
