Job Description

Regular Full-time Position - (1.0 FTE)

This position is at the L05 level with an hourly pay range of $33.93 to $42.93

(PSAC Bargaining Unit)

Reporting to the Manager, Ambulatory Care Program, as a collective member of the health care team, performs a variety of clerical duties related to the program area (Cancer Care/Visiting Specialist Clinic) such as booking and coordinating appointments, diagnostic tests and procedures, processing clinician orders, preparing requisitions and reception duties. Liaises with clients, physicians, hospital departments and other personnel.

The incumbent is responsible for:

  • Coordinating clinic activities to ensure the clinic operates efficiently
  • Transcribe and process clinician orders by completing and forwarding requisitions for tests or services with the appropriate departments/processes; return appointments, appointments of various types and communicate various information according to procedure.
  • Gather patient information for medical appointments to assist in facilitating an efficient patient flow. Request, receive and transport patient information to designated clinical area. Prepare documents for clinical team and patient.
  • Perform a variety of receptionist duties such as greeting and registering patients and supporting way finding, answering the telephone and responding to messages, relaying verbal and written messages.

Knowledge, skills and abilities required:

  • Knowledge of medical office procedures, technology and terminology;

  • Knowledge of Meditech Expanse scheduling and registration processes;
  • Experience scheduling patient/client appointments;
  • Excellent organizational skills with ability to prioritize and adapt to workload variances;
  • Strong oral and written communication skills;
  • Excellent interpersonal skills;
  • Excellent computer skills, including proficiency with MS Office products;
  • Highly motivated and innovative;
  • Ability to work independently and with minimal supervision;
  • Analytical skills;
  • Ability to perform the duties of the position;
  • Cross cultural awareness.

The successful candidate should have graduation from a recognized Nursing Unit Clerk program or one (1) year Medical Office Assistant Diploma and two (2) years’ experience in a Health Care office. An equivalent combination of education, training and/or experience may be considered. Experience with MEDITECH, Plexia and knowledge of hospital organization and practices would be desired.
