The City of Springfield Public Works Department is seeking a highly organized and dependable Administrative Assistant to support the daily operations of a busy department that helps keep our community running. As an Administrative Assistant with the Public Works Department, you will play an important role in supporting departmental operations through administrative coordination, record management, communication, data entry, and customer service. We are looking for a detail-oriented professional who can manage multiple priorities, communicate effectively, maintain accurate records, and work collaboratively with staff, residents, and other City departments.

What This Position Will Do

  • Provide administrative and clerical support to Public Works staff and daily operations
  • Serve as a front-line contact for employees, residents, contractors, and other City departments by phone, email, and in person
  • Maintain accurate records, reports, correspondence, and departmental documentation
  • Assist with scheduling, data entry, purchasing, invoices, and general office coordination
  • Prepare and organize documents, reports, and other materials as needed
  • Assist with processing requests and information related to Public Works services and operations
  • Support day-to-day departmental activities in a professional, timely, and efficient manner
  • Depending on assignment, may be responsible for handling financial transactions

Examples of duties

Experience, Education, and Training

  • Requires at least two years of experience in general office work;

OR

  • 2 years of related college or vocational education from an accredited college/university.
