The Administrative Assistant in the Quality Department plays a crucial role in supporting the team by handling various administrative tasks that ensure smooth and efficient operations. The primary responsibilities include managing documentation, coordinating meetings, and assisting with quality improvement and population health activities carried out by the department. The contributions of the Administrative Assistant will help the Quality Department uphold high standards, streamline processes, ultimately contributing to the department's overall success.
Duties and Responsibilities
Manage and organize departmental documentation and records for Clinical Quality Team
Coordinate and schedule meetings, including preparing agendas and taking minutes
Assist with provider meeting coordination for initiatives such as Quality Collaboratives, crossdepartmental workgroups, and collaboration with local health departments
Support NCQA Accreditation Assist with medical record procurement, which has increased due to rising internal potential quality issue referrals and the 2024 implementation of a yearround medical record review program.
Assist with medical record procurement for clinical quality cases as needed.
Assist clinical quality nurses with monitoring inbox queues for clinical quality cases and route communications to clinical quality nurses as needed.
Assist clinical quality nurses with monitoring MHK queues for subtasks and case due dates.
Maintain and update databases and tracking systems for quality control activities
Handle correspondence and communication within the department and with external partners
Support the implementation and monitoring of quality assurance programs and processes
Provide administrative support for audits, inspections, and other quality-related activities
Perform general office duties, such as filing, copying, and answering phone calls

High school diploma or equivalent
One to two (1-2) years of experience as an administrative assistant or in a similar role.
Familiarity with quality assurance processes and documentation is desirable.
Expert Level
This is a Contract position based out of Santa Barbara, CA.
The pay range for this position is $26.50 - $27.50/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
