Administrative Assistant

Job Summary

Industrial Power Solutions, a Sundt Company, is seeking an Administrative Assistant to support our Tempe office and team members. This position will provide general administrative support with a focus on HR, payroll, employee records, and office coordination.

The ideal candidate is organized, detail oriented, bilingual, and comfortable working in a fast paced environment. This role requires strong communication skills, discretion when handling confidential information, and a genuine desire to support coworkers and contribute to a positive team environment.

Office Location: Tempe, AZ

Pay: $20 per hour

Key Responsibilities

  • Maintain accurate and up to date employee files, records, and documentation.
  • Respond to routine questions from applicants and employees regarding company policies, benefits, hiring processes, and other HR related topics.
  • Maintain the confidentiality and integrity of employee records and information.
  • Conduct periodic audits of employee files to ensure required documentation is complete and properly maintained.
  • Manage electronic timekeeping systems and assist with employee timekeeping questions and corrections.
  • Assist with payroll related questions and payment issues.
  • Support accurate and timely payroll processing for employees.
  • Assist with new hire onboarding and orientation.
  • Assist with benefits enrollment and other employee programs.
  • Support planning and coordination of employee events, meetings, recognition programs, holiday events, and other company activities.
  • Provide general administrative support to the office and HR team.
  • Maintain a professional and helpful approach when supporting employees and coworkers.
  • Perform other duties as assigned.

Minimum Job Requirements

  • Bilingual in English and Spanish.
  • Ability to read and write in Spanish.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with the ability to handle sensitive and confidential information with professionalism and discretion.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office Suite or similar software.
  • Ability to quickly learn payroll systems, HR information systems, electronic timekeeping systems, and other computer applications.
  • Ability to work independently and as part of a team.
  • Strong customer service mindset and willingness to support employees and coworkers.

Preferred Qualifications

  • Previous administrative, payroll, HR, or office experience.
  • Experience with payroll or electronic timekeeping systems.
  • Experience with an HR information system or similar employee management software.
  • Previous experience in a construction or industrial environment.

Physical Requirements

  • Primarily office based work with extended periods of sitting and computer use.
  • Ability to communicate effectively in person, by phone, and through electronic communication.
  • May occasionally visit project or company locations and work in environments requiring appropriate personal protective equipment.
