Ameresco has an opportunity for an Administrative Assistant to support our team at the Savannah River industrial complex near Aiken, South Carolina.
Responsibilities:
- Serve as the primary point of contact for visitors, vendors, and government representatives, ensuring a professional and welcoming experience.
- Answer and route incoming telephone calls with professionalism and excellent customer service.
- Review, monitor, and process vendor invoices and purchase requisitions for approval.
- Manage office and janitorial supply inventories by tracking stock levels, forecasting needs, placing orders, and verifying deliveries.
- Receive, sort, and distribute incoming mail, packages, and other deliveries.
- Prepare, format, and distribute correspondence, reports, memos, letters, and forms.
- Assist with the preparation, compilation, and submission of regularly scheduled reports.
- Perform weekly quality assurance reviews and submit payroll records to Corporate.
- Maintain, update, and distribute company contact lists to ensure accuracy and accessibility.
- Organize and maintain shared drive folders and files, ensuring information remains current and properly documented.
- Create, update, and analyze reports using Microsoft Dynamics 365, Excel, and PowerPoint.
- Coordinate and support multiple projects and administrative tasks, including campus errands, document delivery, badge office visits, and other operational needs.
- Develop and maintain knowledge of Department of Energy (DOE) requirements, ensuring compliance with established protocols and implementing updates as needed.
- Handle sensitive and confidential information with the highest level of discretion and professionalism.
- Provide general administrative and operational support to the team and leadership.
- Other duties as assigned.
Minimum Qualifications:
- High school diploma or equivalent required.
- Minimum of five (5) years of administrative support experience, preferably within construction, engineering, manufacturing, industrial, accounting, or professional services environments.
Additional Qualifications:
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Strong verbal and written communication skills, with the ability to interact professionally with employees, customers, vendors, government representatives, and leadership.
- Experience scheduling and coordinating meetings, managing calendars, and supporting virtual collaboration through Microsoft Teams.
- Excellent organizational, time management, and prioritization skills, with a proven ability to meet deadlines in a fast-paced environment.
- Working knowledge of procurement, purchasing, invoicing, payroll administration, and basic accounting processes.
- Strong customer service mindset with the ability to respond promptly and effectively to changing business needs.
- Experience maintaining electronic records, shared drives, and document management systems.
- Demonstrated ability to manage multiple priorities, coordinate administrative processes, and support day-to-day office operations.
- Experience handling sensitive and confidential information with discretion and professionalism.
- High attention to detail and commitment to accuracy in reporting, recordkeeping, and administrative processes.
- Ability to adapt quickly, manage competing priorities, and work independently with minimal supervision.
- Willingness and flexibility to work additional hours when business needs require.
- Ability to review confidential US security information is required.
