Position Description

The Administrative Assistant serves as a vital link supporting the operational, historical, and cultural continuity of Ojo Caliente Mineral Springs Resort & Spa. Assisting the General Manager, Assistant General Manager, Resort Owners, and Executive Assistant, this role is central to maintaining organizational flow, preserving institutional knowledge, and safeguarding historical records and data that reflect Ojo Caliente’s legacy.

Through expert coordination, documentation stewardship, and proactive support across departments, the Administrative Coordinator ensures that daily operations align seamlessly with the resort's long-term health and history.

ESSENTIAL JOB FUNCTIONS / RESPONSIBILITIES:

Administrative & Records Management

• Maintain organized and secure digital and physical records that preserve the historical and operational narrative of the resort.
• Support leadership through document preparation, version control, archives management, and meeting documentation.
• Develop and maintain systems that ensure data consistency and traceability across departments.
• Coordinate internal communications and administrative workflows to enhance efficiency and accuracy.
• Provide hands-on support for special projects, seasonal priorities, and emergent one-off needs.
• Manage and direct traffic coming to the Administration Building.
• Assist with menu changes.
• Oversee the organization, cleanliness, and repairs of the Administration Building through personal care of the space, working with housekeeping, and submitting work orders.

Inventory, Supplies and Office Coordination

• Oversee inventory and restocking of administrative supplies, guest collateral, and first aid materials.
• Support back-office logistical needs, including package logging and mail management.
• Maintain orderly administrative spaces that support smooth day-to-day function and guest-facing professionalism.

Guest & Operational Support

• Prepare guest recovery certificates/passes and assist with correspondence related to guest feedback.
• Assist with data entry, incident report tracking, and credit card reconciliation processes.
• Contribute to cross-departmental initiatives that strengthen the guest experience and operational excellence.
• Oversee mail retrieval, distribution, and package logging.

QUALIFICATIONS & SKILLS:

• Proficient computer skills required.
• Moderate-Excellent proficiency in:
• Microsoft Excel
• Microsoft Word
• Adobe editable PDFs
• Strong organizational skills and attention to detail.
• Ability to manage multiple tasks, shifting priorities, and being flexible overall.
• Clear and professional written and verbal communication skills.
• Professional discretion, confidentiality, and reliability.
• Ability to stay focused and comfortable in a collaborative, open-office environment.
