Pay: The hourly rate for this position is between $28-33 per hour. Factors which may affect starting pay within this range may include geography/market, skills, education, experience, and other qualifications of the successful candidate.

Job Summary:

The Administrative Assistant plays a critical role in supporting daily operations within the region. This position serves as a central coordination point for multiple offices activities, technician support, and customer interactions, ensuring efficient communication and seamless execution of administrative functions. This role provides direct support as a liaison to and between regional leadership, sales, and field teams, while also assisting with technician onboarding activities.

The Administrative Assistant contributes to financial success by supporting customer document requests, accounts receivable, purchase orders, equipment returns (repair or rentals) and facilitating timely accounts payable approvals.

The ideal candidate is highly organized, detail-oriented, and adaptable, with a strong commitment to teamwork and a willingness to contribute wherever needed to achieve regional goals.

Responsibilities

Office & Regional Support

  • Manage incoming calls, coordinate meetings, and regional events.
  • Provide administrative support to managers and field technicians, ensuring they have the resources, documentation, and coordination needed to perform effectively.
  • Assist regional managers with contract administration, including preparation, tracking, and organization of project-specific contracts.
  • Fulfill customer documentation requests, including Certificates of Insurance (COIs), bond requests, and other compliance-related materials.
  • Coordinate travel arrangements for regional staff as needed.
  • Support shipping and receiving activities, including tracking, documentation, and coordination.
  • Partner with HR and regional leadership to support the onboarding and integration of new employees.
  • Contribute to a team-oriented, “all hands-on deck” environment by assisting with additional tasks as needed to meet regional goals.
  • Manage the Accounts Payable (AP) approval workflow to ensure timely and accurate processing.
  • Assist in invoice preparation and accounts receivable.
  • Managing and ordering both standard office supplies and specialized shop supplies to keep the facility and field teams equipped.

Qualifications

  • Proficiency with the MS Office suite of software
  • Exceptional organizational skills and detail oriented
  • Strong writing and editing skills are desired.
  • Available and willing for up to 10% travel as necessary.
