Key Responsibilities

Executive Support & Calendar Management

  • Manage and coordinate the Vice President's calendar, including scheduling meetings, appointments, and business events.
  • Coordinate key GCN leadership meetings, dealer meetings, and regional events.
  • Prepare meeting logistics, agendas, and supporting materials as required.

Travel & Expense Administration

  • Arrange domestic and international travel for the Vice President, GCN Region, and the Distribution Director (Beijing District).
  • Process travel expenses, payments, and charge card reconciliations in a timely and accurate manner.
  • Ensure compliance with company policies and procedures related to travel and expense management.

Office & Operational Support

  • Coordinate office vehicle and driver arrangements.
  • Manage vendor-related administrative activities and monthly payment processing.
  • Support day-to-day administrative operations to ensure business continuity and efficiency.

Executive Visits & Event Coordination

  • Support visits to China by Caterpillar executives, senior leaders, and dealer management teams.
  • Coordinate logistics, schedules, accommodations, transportation, and meeting arrangements.
  • Assist in planning and executing leadership meetings, Dealer Principals' Meetings, AEM events, and other regional business events.

Governance & Administrative Compliance

  • Support the Vice President's director responsibilities for Caterpillar Asia and Caterpillar Hong Kong entities.
  • Coordinate reviews, approvals, document management, and signature processes when required.
  • Maintain confidentiality and accuracy when handling sensitive business information.

Qualifications & Skills

Required Qualifications

  • Previous experience supporting senior executives, leadership teams, or multinational business environments is highly desirable.
  • Experience in executive administration, office management, or related administrative roles.

  • Strong ability to handle confidential and sensitive information with integrity, discretion, and sound judgment.
  • Excellent calendar management, travel coordination, and administrative support capabilities.
  • Professional communication and interpersonal skills with confidence interacting with senior executives and external stakeholders.
  • Strong organizational and prioritization skills with the ability to manage multiple tasks independently.
  • High level of accuracy and attention to detail.
  • Strong problem-solving skills and a proactive mindset.
  • Effective written and verbal communication skills in both English and Chinese.
  • Ability to work effectively in a fast-paced, global environment.
  • Proficiency in Microsoft Office applications, including Outlook, PowerPoint, Excel, and Word.

This position requires working onsite five days a week.Visa Sponsorship is not available for this position.
