The Opportunity

As an Administrative Assistant, your day-to-day responsibilities will focus on Organizational & Administrative Support, Onboarding & HR Administration, and Team Coordination & Digital Workplace, including:

  • Executive & Operational Support: Provide high-level administrative support to DPLT leaders, including proactive inbox management, complex global calendar scheduling, and active cross-team backup coverage.

  • Travel & Event Coordination: Manage end-to-end business travel logistics and expense reporting, alongside the full-lifecycle planning and execution of meetings, seminars, and team events.

  • New Hire Onboarding: Manage the full onboarding lifecycle for new Direct Procurement employees, including administrative requests (hardware/software provisioning) and evaluating/assigning appropriate training paths.

  • Training Matrix Implementation: Partner closely with People Leaders to ensure the smooth transition and implementation of the Training Matrix, providing active guidance throughout the process.

  • Workforce Administration: Provide time-management system support to the Procurement team and handle HR administration for external employees and consultants.

  • Support Leadership Team operations, huddles, and workshops by tracking action items on Monday.com or related platforms.

  • Help maintain the department’s internal G-Site, standard operating procedures (SOPs), and resource templates.

Who You Are

To be successful in this role, you will ideally bring the following qualifications and competencies:

  • Education & Experience: University degree or commercial apprenticeship (KV) preferred, with 1 to 3+ years of experience in a similar administrative or business support role.

  • Digital Savviness: Strong proficiency in Google Workspace (G-Suite, Google Drive, Calendar, G-Sites) and MS Office. Experience with task management tools like Monday.com is a strong plus.

  • Language Skills: Business fluency in English and German (both spoken and written) is mandatory.

  • Mindset & Working Style: Highly organized, proactive, discreet, and solution-oriented with strong attention to detail. Ability to work independently while acting as a collaborative team player.

  • Nice to have: Familiarity with SAP, Simplebuy (myBuy), or Cornerstone LMS.
