Administrative Assistant

Are you organized, detail-oriented, and passionate about supporting a team that makes a difference in the lives of children and families? Acelero Learning is seeking a dedicated Administrative Assistant to provide essential administrative and operational support to the Center Director and Early Head Start program. In this role, you will help ensure the center operates efficiently by managing day-to-day administrative functions, maintaining accurate records, supporting families and staff, and coordinating important center communications and activities.

Your Role

As an Administrative Assistant , you will serve as an important point of contact for the center, providing administrative support to the Center Director, staff, families, and visitors. You will manage daily clerical responsibilities, coordinate records and reports, support fiscal and operational processes, maintain office supplies and systems, and help ensure information is communicated accurately and efficiently.

Your ability to stay organized, maintain confidentiality, manage multiple priorities, and provide excellent customer service will help create a welcoming and well-organized environment for children, families, and staff.

What You'll Do

Provide Administrative Support: Provide day-to-day administrative and clerical support to the Center Director and Early Head Start program, including correspondence, reports, forms, charts, memos, and other documents.

Support Families & Visitors: Serve as a welcoming point of contact for parents, families, visitors, and community members by providing courteous and helpful assistance and directing inquiries appropriately.

Manage Records & Data: Complete data entry, maintain accurate electronic and hard-copy records, coordinate recordkeeping and reporting, and manage the Pre-K counts database with accuracy and integrity.

Coordinate Office Operations: Manage office supplies and inventory, coordinate mail and postal needs, maintain office equipment, and ensure necessary forms and manuals are current and accessible.

Support Meetings & Communication: Attend operational staff meetings, prepare and distribute meeting minutes, and communicate important information through email, memos, reports, and other written and verbal communications.

Support Fiscal & Operational Processes: Assist with fiscal management, purchasing, and other administrative processes while ensuring information is organized and available to appropriate staff.

Maintain Confidentiality: Handle confidential correspondence, documents, conversations, meetings, and calls with professionalism and discretion.

Stay Organized & Prioritize: Manage multiple projects and requests from various stakeholders, prioritize competing responsibilities, and complete assignments accurately and within established deadlines.

Support Center Operations: Assist the Center Director with staff call-outs, licensing-related administrative needs, volunteer clerical support, and other center operational activities as needed.

Educational Background

  • High school diploma required.

  • Associate's degree in Business Administration or a related field preferred.

Administrative Experience

  • Previous experience in an office, administrative, clerical, or customer service environment.

  • Strong organizational skills and the ability to manage multiple priorities and deadlines.

Technical Skills

  • Computer proficiency, including Google Workspace, spreadsheets, basic data management systems, email, internet navigation, and standard office equipment.

  • Ability to learn new systems and processes quickly in a dynamic environment.

Collaborative Spirit

Ability to work effectively with individuals from diverse backgrounds and collaborate with staff across different service areas.

Additional Requirements

  • Bilingual Spanish/English preferred.

  • Valid driver's license and reliable transportation.

  • Ability to travel locally or long-distance up to 10% for work-related meetings, training, and events.

  • Successful completion of required background checks and physical examination.
