The Opportunity:
Saint Luke’s is seeking an Executive Administrative Assistant to administratively support the Rehab Institute Leadership team. You will interact with both internal and external individuals within BJC Health System executives to departmental level personnel. This is an in person position.
To be successful in this role, you will need to have a strong attention to detail, excellent customer service skills and the ability to maintain a high level of confidentiality. Because you will have a diverse workload, being able to manage several ongoing priorities with last minute requests will be very important. The ideal candidate for this position would have at least 2 years of executive administrative assistant experience, will be highly flexible, and demonstrate exceptional reliability and accountability.
The Work:
Manages calendars, emails, and task lists, prioritizing significant matters as needed
Prepares and distributes agendas, presentations, minutes, and reports for various meetings
Manages conference room calendars
Coordinates domestic travel and accommodations for leadership
Organizes onsite events for leadership, Board members, employees, and outside organizations as needed
Prepares and submits expense reports on behalf of Directors
Aids clinical and non-clinical departments in the completion of various tasks and projects
Maintains digital and physical filing systems
Maintains office supply inventory
Aids in the organizational preparation for regulatory surveys such as Joint Commission
Collects and organizes mail and packages for the Vice President / Director
