MUFG Taiwan is looking for an AdministrativeAssistant to provide administrative and executive support to the Country Head of Global Corporates and the wider team. The role is responsible for coordinating day-to-day administrative activities, improving operational efficiency, and supporting business growth through effective resource management.

What you'll do:

As an Administrative Assistant, you will provide high-quality executive support to the Country Head of Global Corporates while delivering efficient administrative support to the wider team, ensuring smooth day-to-day operations and effective coordination across the business.

  • Provide comprehensive administrative support by coordinating calendars, meetings, visitor arrangements, and travel logistics for both local and international engagements.

  • Manage expense claims, reimbursement processing, and ensure all administrative documentation is accurately completed and submitted in a timely manner.

  • Support internal communications by preparing meeting materials, formatting presentations, organizing event logistics, and facilitating effective information sharing within the team.

  • Coordinate management meetings, town halls, team activities, and client events by liaising with various stakeholders to ensure smooth execution of all functions.

  • Arrange business trips including transportation bookings, accommodation reservations, travel documentation preparation, and ensure compliance with company policies.

  • Procure festive gifts for clients and staff while managing departmental administrative activities such as system access requests and facility requirements.

  • Liaise with HR, Finance, IT, General Affairs, and other support functions on all administrative matters to maintain efficient cross-functional collaboration.

  • Maintain accurate records of administrative processes and ensure timely completion of all required tasks related to office operations.

  • Support business reporting by consolidating data from multiple sources and assisting with document management for internal approvals and workflow tracking.

  • Identify opportunities for process improvement by contributing ideas for streamlining administrative procedures and supporting implementation of target operating model initiatives.

What you bring:

The ideal candidate will bring proven experience in office administration or executive support, preferably within a large organization or financial institution.

  • Diploma or bachelor’s degree in related discipline is preferred.

  • Minimum 2 years’ experience in administrative roles such as executive assistant where you have supported senior leaders or managed departmental operations.

  • Strong organizational skills demonstrated through experience managing complex schedules and multiple priorities within fast-moving environments.

  • Ability to maintain confidentiality when handling sensitive information related to executive decisions or client interactions.

  • Strong interpersonal skills and the ability to work effectively with senior management and stakeholders across functions.

  • Excellent written and verbal communication abilities in both English and Chinese.

  • Proficiency in Microsoft Office applications.
