The University of Arizona Clinical Research Administration (CRA) is looking for an administrative assistant for research administration to work closely with colleagues in a fast-paced environment. The successful candidate will perform administrative functions to support the department with daily activities. This position requires initiative, excellent organizational skills, the ability to work independently, as well as to collaborate closely with senior leadership, staff, and business partners.

Duties & Responsibilities

  • Coordinate the departmental daily operations by providing administrative support to the director and Clinical Research Administration (CRA) Team.
  • Maintain complex calendar(s) for assigned staff, using significant judgement and initiative, regularly prioritizing and arranging meetings, conferences and appointments.
  • Arranges necessary travel reservations and itineraries; anticipates and prepares background materials needed.
  • Plan and arrange meetings; communicate arrangements to appropriate individuals.
  • Serve as liaison to internal and external stakeholders concerning information or complaints.
  • Serve as primary point of contact during implementation of new policies, procedures or practices.
  • Assist the OnCore Clinical Trial Management System (CTMS) teams with email management, scheduling training, data QA/QC, and database entry.
  • Prepare online routing in the UAccess Research System, and support clinical trial budget team as needed.
  • Act as a liaison with internal/external stakeholders to foster collaborative partnerships.
  • Evaluate and recommend changes to department operations to ensure efficiencies and compliance with University and regulatory agencies’ policies and regulations.
  • Use judgement to review incoming mail, compose correspondence replies on own initiative, interpreting and explaining established policy and procedure in response to inquiries from a variety of sources.
  • Prepare or direct preparation of minutes, notices, website, manuals, agendas and correspondence with all supporting documentation, requiring application of an extensive specialized knowledge of the assigned functional area.
  • Summarize reports and information to facilitate review by supervisor and investigate, evaluate and resolve problems within scope of position.
  • Maintain and reconcile expenses for departmental account; monitors expenditures and performs simple analysis on accounts and resource allocation.
  • Prepare both special and recurring reports for supervisor and authorizing payments within prescribed limits and university guidelines, making recommendations for purchases.

Minimum Qualifications

  • High School diploma or equivalent learning.
  • Minimum of five years of directly relevant experience; or equivalent combination of education and work experience.

Notice of Availability of the Annual Security and Fire Safety Report
In compliance with the Jeanne Clery Campus Safety Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University’s campuses. These reports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims. As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
