Reporting to the Manager, the position is accountable for the efficient operation of the portfolios through coordinating and managing clerical functions of the office, carrying out duties in a confidential nature, and assigned clerical functions for the Department. The Confidential Administrative Assistant is responsible for the efficient and effective operation of the Practitioner Staff Affairs office through accurate and timely execution of a variety of complex clerical and secretarial functions. The incumbent, exercising considerable initiative and with considerable attention to detail, carries out the duties and responsibilities of the position with minimal direction and day to day supervision.

Human Resources Exemption: No

Experience

  • Five (5) years experience in an office environment

Education

  • Completion of Grade 12 supplemented by a recognized business course

Other Education and Training

  • Basic medical terminology

Knowledge and Abilities

  • Knowledge of reconciliation of finance/payroll/supply inventory records
  • Able to plan, prioritize and execute responsibilities independent of supervision
  • knowledge of office systems including confidential information systems
  • Ability to competently use computers and software applications
  • Prepare responses to routine correspondence
  • Extensive knowledge of business grammar and punctuation
  • Ability to demonstrate appropriate level of professional conduct and judgement.
  • Provide effective editing for draft materials presented for data entry
  • Ability to take and transcribe minutes and to operate recording equipment
  • Ability to enter data with accuracy and attention to detail
  • Knowledge in Microsoft Office Suite
  • Has demonstrated strong interpersonal and communication skills.
  • Demonstration of extreme attention to detail
  • Demonstrates effective verbal and written communication skills.
