Job Title: Administrative Assistant

Location: Falmer- Hybrid- 2 office remaining WFH

Contract Type: Fixed term Contract- Ending July 2027

Hours: 37 hours per week

Salary: Up to £30,000 per annum depending on skills and experience

About the role

We are looking for a proactive and detail-focused Administrative Assistant to support our Environmental Leads with pollution incidents and Environment Agency communications.

This is an important role within our environmental function. You will help the team manage case updates, maintain accurate records, and respond to queries in a timely and professional way.

You will also support coordination across pollution cases, contractor activity, and regulatory correspondence. Your work will help the team meet key deadlines and maintain strong standards of documentation.

What you will be responsible for:

  • Monitor the Environmental Lead inbox each day, filing emails and attaching them to the correct pollution cases.
  • Support Environmental Leads with case updates to the Environment Agency within required response times.
  • Respond to general and ad hoc Environment Agency queries in a clear and professional way.
  • Help manage contractor invoices, ensuring they are processed accurately and on time.
  • Maintain organised records of correspondence, case updates, invoices, and contractor documents.
  • Work with technical and operational teams to support accurate case management.
  • Identify ways to improve administrative processes, data accuracy, and response times.

What you’ll bring to the role:

Essential

  • Strong organisational and administrative skills.
  • Excellent attention to detail, with the ability to manage multiple tasks.
  • Good written and verbal communication skills.
  • Experience using email, document management, or case management systems.
  • Ability to work collaboratively with technical and operational teams.

Desirable

  • Experience working in an environmental, regulatory, or operational support role.
  • Understanding of environmental processes or pollution case management.
  • Experience supporting invoice processing or contractor documentation.
