We are looking for an Administrative Assistant that will be responsible for providing administrative and clerical assistance throughout all roles of the Tax and Accounting Departments.
In This Role, You Will:
• Draft, process, and maintain documents and records digitally in a complex electronic document management system
• Type letters, memorandums, reports, etc. from dictated, handwritten, or other sources
• Organizes and maintains department files and records within electronic databases
• Answer telephones and direct calls to appropriate departments or persons
• Schedule appointments and handle necessary notifications including reserving and preparing meeting rooms.
• Create and maintain spreadsheets
• Create and process invoices and expense reports
• Assist the Tax Director with tax filings and preparations
• Create Journal Entries

Your Qualifications:
• High School Diploma
• Minimum of two (2) years’ experience in an executive administrative role
• High-level computer skills. Experience working with an electronic document management system a plus.
• Excellent typing skills
• Shorthand skills are a plus
• 3+ years’ experience supporting transactional attorneys. In-house experience is a plus.
• Advanced Microsoft Office Skills (Word, Outlook, Excel and PowerPoint)
• Must have prior experience with redlining and comparing.
• Knowledge of the English language, correct spelling, punctuation, and usage
• Ability to compose business and legal correspondence
• Strong work ethic with a high level of organization. Detail orientation is key.
• Familiarity with contracts
• Excellent verbal and written communication skills
• Ability to manage time effectively and establish priorities
• Strong initiative and problem-solving skills
• Ability to follow instructions and interpret guidelines in order to make decisions and take necessary action
• Ability to maintain focus in a fast-paced, dynamic, team-oriented environment
• Ability to maintain composure under pressure and work effectively with others
• Ability to manage workload and shift priorities in a fast-paced environment
• Strong work ethic with high level of organization. Detail orientation is key
