The Marathon Detroit Refinery has an opening for an on-site Administrative Assistant position. This position will proactively provide a full range of administrative support to the Detroit Refinery Environmental, Safety, and Security Department.

KEY RESPONSIBILITIES:

The successful candidate will be able to carry out assigned responsibilities with minimal guidance while balancing the broad, varied, and sometimes complex needs of multiple individuals and work groups. This individual must demonstrate a strong ownership mindset, attention to detail, and commitment to accurate, high-quality work, including the ability to review information carefully, identify potential issues early, and follow applicable refinery and company procedures. The candidate must be able to manage multiple organizational needs and priorities in a calm, professional, confidential, and confident manner while maintaining a positive, service-oriented attitude. Strong verbal and written communication skills are essential, including the ability to communicate promptly, clearly, and professionally with internal and external stakeholders. The candidate must be a collaborative team player who treats others with dignity and respect, willingly supports and backs up other administrative assistants and department personnel, and contributes to the overall goals of the refinery. The successful candidate will be highly self-motivated, organized, dependable, and adaptable, with strong interpersonal skills, a continuous-improvement mindset, and a willingness to learn, share information, and help improve department processes and systems.

  • Support refinery initiatives and priorities
  • Maintain and operate office equipment and order office supplies
  • Coordinate invoice processing
  • Submit work notifications
  • Perform a variety of administrative duties to ensure the efficient operation of the office and refinery.
  • Schedule, plan, and organize all logistical details for in-house and off-site meetings, conferences, etc., as needed.
  • Prioritize work effectively, meet deadlines, while anticipating needs and requirements. Proactively support the assigned leader(s) in all assigned responsibilities, take direction from multiple staff members and balance the needs of the group.
  • Manage the department’s vacation calendar, coordinate team calendars, schedules, and coordinate logistics for internal and external meetings.
  • Effectively partner and coordinate meetings with third party strategic partners.
  • Distribute electronically routine and ad-hoc communications to refinery employees and key stakeholders.
  • Schedule monthly safety meetings for all operations and maintenance crafts.
  • Lead/assist with committees that coordinate on and off-site employee engagement.
  • Handle confidential data and matters in a discreet and professional manner.
  • Work as a team player with other assistants and teams.
  • Manage/track various safety inspections and work orders.
  • Perform special project tasks as required.
  • Assist with onboarding of new refinery employees.
  • Assist with providing oversite to refinery PPE programs and act as liaison between MPC and suppliers.

EDUCATION AND EXPERIENCE:

  • Must have a high school diploma or GED required.
  • 2 years of administrative assistant experience or related experience preferred.
  • Must be proficient in Microsoft: Word, Excel, PowerPoint and Outlook.
  • Must be able to wear appropriate PPE in the refinery, be able to physically perform all tasks and take hair drug test and physical.
  • Must have a valid driver’s license.
  • Travel Requirement is 5% or less.
  • The available work schedules for this on-site position are 9/80 or 5/40.

SKILLS:

  • Strong verbal and written communication skills.
  • Excellent interpersonal skills and a preference for collaboration, including proven success working with others; ability to work with high profile individuals internally and externally.
  • Ability to workin a fast-paced and sometimes unpredictable environment; be proactive; work well under pressure and tight deadlines; proven ability to juggle multiple projects.
  • Ability to learn new software and computer programs as the needs of the department and the refinery shift.
  • Proven analytical and problem-solving abilities.
  • Demonstrate commitment to continuous improvement, information accuracy, and supporting a safety focused work environment.
  • Highly organized, detail-oriented and self-motivated.
  • Flexible and willing to help out the team when requested.
