Job Summary:


Client is
seeking an organized and detail-oriented Administrative Assistant to support
our Business Operations team. This role centers on two core areas: preparing
and processing expense reports, and coordinating travel planning for staff and
leadership. The ideal candidate is proactive, accurate, and able to juggle
competing priorities while keeping operations running smoothly in a fast-paced
professional services environment.


What We’re Looking For:


Required experience:

* Associate's or
Bachelor's degree preferred


* 2+ years of administrative, operations, or related support
experience.

* Experience preparing expense reports and/or coordinating business
travel strongly preferred.

* Proficiency with Microsoft Office (Outlook, Word, Excel,
PowerPoint); familiarity with expense or travel management systems (e.g.,
Concur, Deltek) is a plus.

* Strong organizational skills with excellent attention to detail and
accuracy

* Strong written and verbal communication skills

* Ability to prioritize, multitask, and meet deadlines with minimal
supervision.

* Discretion and sound judgment in handling confidential information.

Working Environment:

This is a
full-time, on-site position in a professional office environment. Occasional
flexibility in hours may be needed to support travel schedules and operational
deadlines.

What You’ll Be Working On:


Expense Reports



Prepare, review, and process expense reports
for staff and leadership, ensuring accurate coding, complete
documentation, and policy compliance.



Collect, organize, and verify receipts and supporting documentation;
follow up on missing items and resolve discrepancies.



Reconcile corporate card transactions against submitted expenses and
flag variances for review.



Track expense report status through approval and reimbursement, and
respond to related questions from staff and Finance.


Travel Planning



Coordinate and book travel arrangements, including flights, lodging,
rental cars, and ground transportation.



Build detailed itineraries and ensure travel aligns with company
policy and budget.



Research options to optimize cost and convenience, and manage
changes, cancellations, and travel issues as they arise.



Maintain travel records and assist with reconciling travel-related
expenses.


General Operations Support



Provide administrative support to the Business Operations Specialist,
including scheduling, correspondence, and document preparation.



Process invoices, purchase requests, and other operational paperwork
as needed.



Maintain organized records and files, and help improve
administrative processes.



Handle confidential information with discretion, and perform other
duties as assigned.
