Administrative Assistant – Export & Customs / International Trade Focus

Location: Hüllhorst, Germany (On-site)

Take the next step in your career and join our team in Hüllhorst, where you will play a key role in coordinating global shipments of high-value instruments This position goes beyond traditional administration — it is a specialist role in export, customs, and international logistics, ensuring all shipments are handled efficiently and in full compliance with regulations.

Following our recent AEO certification, we are looking for an experienced professional to act as a subject matter expert in international trade compliance, supporting our global operations while working closely with logistics partners and internal teams.

This role is on-site, with flexible working hours between 07:00 and 18:00 to support both business and personal needs.

Responsibilities

Key Responsibilities

  • Customs & Compliance (AEO):Ensure full compliance with international trade and customs regulations, maintaining and supporting AEO standards
  • Export Documentation:Independently prepare, review, and manage all export and customs documentation (including ATLAS processing)
  • Logistics Coordination:Coordinate global shipments and schedule collections with freight forwarders and carriers (e.g. FedEx, UPS, Expeditors)
  • Reporting & Intrastat:Prepare and submit Intrastat declarations and ensure accurate regulatory reporting
  • Documentation & Invoice Validation:Create and verify pro forma invoices, ensuring accuracy and compliance with international shipping requirements

Qualifications

Your Profile

  • Proven experience in export operations, customs, or international trade/logistics
  • Strong knowledge of:
    • Customs regulations and compliance (AEO preferred)
    • ATLAS system
    • Tariff classification
  • Experience working with international logistics providers and freight forwarders
  • Fluent in German and English (written and spoken)
  • High level of accuracy, organisation, and ownership
  • Collaborative team player with willingness to work on-site
