With offices in Australia, New Zealand, South Africa and having established RCL Services as its subsidiary in Fiji, we now have an exciting opportunity for an Administrative Assistant to join our Corporate Services Department.

About the role

The Administrative Assistant will be managing the diverse requirements of the role and provide administration support, including scheduling and meeting support and other administrative responsibilities as directed. The role will also require a high level of discretion in maintaining the complete confidentiality of all information and any related documents and discussions.

Key responsibilities:

  • Provide professional executive support to the Head of Operations - Offshore
  • Schedule and take minutes at management/leadership meetings as well as provide full administrative support to the Head of Operations - Offshore
  • Handle very sensitive, confidential and proprietary matters on a routine basis with discretion
  • Act as a conduit to ensure smooth flow of information, into and from the Head of Operations - Offshore and use diplomacy to proactively achieve working deadlines
  • Attend meetings, takes, transcribe and distribute minutes to appropriate personnel
  • Coordinate meetings, facilities and arrange catering requirements for meetings
  • Coordinate travel and conference arrangements, including making airline, hotel and car arrangements, monitoring travel and updating travellers with any changes.
  • Perform general office duties such as scanning, faxing, making copies and filing
  • Use discretion in the absence of the Head of Operations - Offshore to refer urgent matters to the appropriate executive and ensure the Head of Operations - Offshore is briefed accordingly
  • Draft reports, correspondence and formal presentations as required
  • Comply with all company policies and procedure including those for Occupational Health & Safety, Quality and Information Security
  • Deliver workload in accordance with key performance indicators

To be successful in this role, you will require:

  • Knowledge of administration processes and procedures
  • Experience in an administrative role
  • Experience in operating office equipment, telephones, Microsoft Office suite and in-house software
  • Excellent customer service skills
  • Relationship management skills
  • Excellent verbal and written communication skills
  • Effective time management skills
  • Excellent interpersonal skills
  • Highly organised with the ability to multitask often under pressure
  • Full drivers licence – an added advantage
