Your opportunity:

Under the direction of the Director, the Administrative Assistant serves as the first point of contact for students, staff and faculty. The incumbent plays the integral role of responding to enquiries and disseminating Centre information.

The incumbent will be responsible for developing and maintaining procedures; supporting administrative workflow and objectives; and analyzing administrative procedures and recommending changes for improvement. Duties will involve assisting the Director with scheduling; assisting with drafting correspondence; taking meeting notes; file maintenance; engaging stakeholders; establishing milestones; and working with confidential documents.

Your responsibilities will include:

  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Resolving issues within the scope of the role and escalating problems as required
  • Creating and updating records
  • Keeping well-informed on University programs, policies and procedures
  • Determining logistical details and activities for events and/or programming
  • Processing payroll

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum five years of related experience
  • Experience working in a fast-paced environment with competing priorities and deadlines
  • Experience working with University of Toronto policies and procedures
  • Experience drafting, editing, and preparing a variety of written documents and reports
  • Experience tracking deadlines, monitoring project status, and providing timely updates to stakeholders
  • Experience working directly with students, faculty, and staff in a University setting
  • Proven experience managing complex calendars for senior staff members
  • Experience coordinating meeting schedules, agendas, materials and follow-up items
  • Experience in event planning at multiple scales
  • Strong written and verbal communication skills
  • Excellent organization and time management skills
  • Advanced computer skills, including experience working with MS Office (Word, Excel, Access, Outlook, PowerPoint), database management, Financial Information System, and other similar financial software databases
  • Ability to work with tact, discretion, sensitivity to confidential matters
  • Excellent interpersonal skills with the ability to work effectively with a wide variety of people at different levels of the University and with external stakeholders


Assets (Nonessential):

  • Experience in assisting with financial planning, grant writing, and seminar planning an asset
  • Ability to read, write and speak French an asset
