Lerch Bates is seeking a highly organized Administrative Coordinator to support our regional leadership team and office operations. This role works closely with regional management and technical teams to ensure smooth day-to-day operations, provide administrative and project support, coordinate office activities, and help maintain a professional experience for both employees and clients.

The Administrative Coordinator serves as a key resource for office operations, project support, scheduling, communication, and administrative processes that help keep the business running efficiently.

What You’ll Do:
The duties listed below are intended only as illustrations of the various types of work that may be performed in this position. They are not intended to prescribe or restrict the assignments that management may make.
Administrative & Office Support
- Provide day-to-day administrative support to regional leadership and project teams
- Manage calendars, meetings, appointments, and office coordination activities
- Prepare, edit, format, and distribute business documents, reports, presentations, and correspondence
- Support project and client deliverables through document preparation, organization, and quality review
- Coordinate travel arrangements, meeting logistics, conference room scheduling, and team events
- Assist with onboarding preparation and new hire setup activities
Office Operations
- Maintain organized and professional office, conference room, and common areas
- Monitor and order office supplies, kitchen inventory, and operational materials
- Coordinate office vendors, equipment maintenance, shipping, and facility-related needs
- Receive and distribute incoming mail and prepare outgoing shipments
- Support fleet and equipment tracking activities in coordination with internal teams
Client & Team Support
- Serve as a welcoming first point of contact for visitors, clients, and vendors
- Coordinate client meetings, lunches, and office events as requested
- Support communication between leadership, project teams, and external stakeholders
- Assist with project documentation, filing, records management, and administrative workflows
Team Collaboration
- Support special projects and cross-functional initiatives as assigned
- Contribute to process improvements that increase efficiency and organization
- Maintain confidentiality while handling sensitive business information
- Adapt to changing priorities while delivering high-quality work and customer service
What You’ll Bring:
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred
- 2+ years of administrative, office coordination, executive support, or related experience
- Strong proficiency with Microsoft Office, including Outlook, Word, PowerPoint, and Excel
- Experience supporting multiple priorities and stakeholders in a professional office environment
- Excellent verbal and written communication skills
- Strong organizational, planning, and time-management abilities
- Exceptional attention to detail and accuracy
- Ability to maintain confidentiality and exercise sound judgment
- Strong customer service and interpersonal skills
- Ability to work independently while collaborating effectively with a team
- Experience with Bluebeam or similar document management software is a plus

Working Environment:
This position is primarily performed in a professional office environment and requires regular interaction with employees, clients, vendors, and visitors. The role involves supporting daily office operations, coordinating administrative activities, and managing multiple priorities in a fast-paced setting.
Physical Demands:
While performing the duties of this position, an employee is regularly required to sit; talk or hear, in meetings, in person and by telephone; use hands to finger, handle, feel or operate standard office equipment; and reach with hands and arms. An employee is regularly required to walk and stand.
