Employment Type: Full Time

Location: Grand Rapids, MI

Reporting To: Todd Quist

Compensation: $18.00 - $20.00 / hour

Schedule Full-time, 40 hours per week | Monday - Friday | 8am - 4:30pm
Department: Porter Hills Village | EVS Department | Grand Rapids, MI

What You’ll Do:
Join our team as an Administrative Assistant and help keep our community operations running efficiently. Supporting the Environmental Services (EVS) department, you'll manage key administrative functions including invoice processing, work order systems, payroll tracking, resident communications, and departmental coordination.
In this fast-paced role, you'll help ensure accurate records, timely communication, and smooth day-to-day operations.

Key Responsibilities

  • Provide general administrative and clerical support to the EVS and Housekeeping departments.
  • Prepare, maintain, and file reports for internal use and regulatory compliance.
  • Manage departmental communication including phone, email, and radio inquiries.
  • Coordinate intake, assignment, and tracking of resident work orders through the WorxHub system.
  • Monitor work order progress and conduct follow-up with residents and staff to ensure timely completion.
  • Maintain system data integrity, including user setup and resident information updates.
  • Process invoices, expense coding, and departmental billing activities.
  • Track accounts payable items and support resident billing processes.
  • Assist with payroll tracking and documentation.
  • Coordinate housekeeping, laundry, and EVS staff schedules and daily assignments.
  • Support event setup and tear-down logistics across the community.
  • Serve as a key point of contact for residents and team members, providing timely and professional service.
  • Support move-in/move-out tracking and refresh projects.
  • Assist with team member engagement events and community activities.

Skills, Knowledge & Expertise

  • Minimum of one (1) year administrative support experience, required.
  • College and/or secretarial training, desirable.
  • Must possess computer experience, including Microsoft Office.
  • Must possess excellent communication skills, both written and verbal.
