Job Description

Team Red Dog is hiring an Administrative Assistant for our client, a Fortune 50 technology leader and creative technology powerhouse. This highly visible onsite role supports Turn 10 Studios, the creators of the award-winning Forza franchise, and serves as a key operational partner across executive support, team coordination, events, facilities, and studio operations.

The Administrative Assistant will manage complex calendars, travel logistics, meetings, events, procurement, and workplace operations while helping keep a fast-paced game development organization running smoothly. This is an excellent opportunity for an organized, resourceful professional to gain broad exposure across studio operations while contributing to multiple high-profile product launches.

Top Required Skills (Must Haves):

  1. Executive and Calendar Management – Experience managing complex calendars, scheduling meetings, coordinating priorities, and supporting senior leaders in a fast-paced environment.
  2. Event and Meeting Coordination – Ability to plan and execute meetings, team events, catering logistics, space reservations, vendor coordination, and event reconciliation activities.
  3. Administrative Operations and Travel Support – Experience coordinating business travel, processing expense reports, maintaining documentation, managing office operations, and supporting day-to-day business functions.
  4. Organizational and Project Coordination Skills – Ability to manage multiple priorities simultaneously, maintain operational processes, support facilities and space management, and execute special projects with minimal supervision.

Opportunity Overview:

In this role, you'll support Turn 10 Studios during an exciting period of growth and multiple product launches, serving as a key operational partner across executive support, studio operations, facilities, events, and team coordination. Working onsite alongside studio leadership and employees at all levels of the organization, you'll help keep day-to-day operations running smoothly while contributing to the success of one of the gaming industry's most recognized franchises. The breadth of responsibilities and visibility across the studio provide an exceptional opportunity to expand your skills and gain experience well beyond a traditional administrative support role..

How you will make an impact:
• Provide calendar management and scheduling support for studio leadership.
• Coordinate and book domestic and international travel arrangements.
• Process expense reports and reconcile business expenses.
• Manage conference room calendars, scheduling, and room readiness.
• Support building access requests and related administrative processes.
• Coordinate team meetings, including logistics, catering, and space reservations.
• Assist with planning and execution of team events, including setup, vendor coordination, billing reconciliation, and onsite support.
• Maintain operational documentation, compliance records, and space management resources.
• Support hardware and peripheral inventory management.
• Assist with storage organization and office space optimization projects.
• Coordinate procurement of office supplies, equipment, and services.
• Provide project coordination and administrative support for studio initiatives as needed.
• Deliver executional support for Xbox Game Studios-related events and activities.

The expertise you bring:
• Experience supporting executives, managers, or teams in an administrative, office management, or operations capacity.
• Strong calendar management and meeting coordination experience.
• Experience coordinating travel arrangements and expense reporting.
• Ability to manage multiple competing priorities in a fast-paced environment.
• Strong organizational skills and exceptional attention to detail.
• Experience planning meetings, events, and team activities.
• Excellent written and verbal communication skills.
• Proficiency with Microsoft Office and related business productivity tools.
• Ability to work independently while maintaining strong collaboration across teams.
• Experience working with confidential information and exercising sound judgment.
• Ability to lift, move, and organize event or office-related materials when needed.
• Previous experience supporting technology, gaming, or corporate environments is preferred.
