Job Description

ICAP Employment Solutions, on behalf of a client, based in Athens, is currently looking for an Administrative Assistant.

The ideal candidate will serve as the first point of contact for visitors and callers, while providing administrative and clerical support to various departments.

Key responsibilities include:

  • Manage front desk operations, including greeting visitors, handling incoming calls, and directing inquiries appropriately.
  • Maintain a professional, welcoming reception area and meeting room environment.
  • Coordinate meeting room bookings, prepare meeting spaces, and support catering/refreshment arrangements when required.
  • Handle incoming and outgoing mail, courier services, deliveries, and document distribution.
  • Assist with administrative tasks such as filing, scanning, data entry, document preparation, and internal communications.
  • Support travel arrangements, accommodation bookings, and expense reporting where applicable.
  • Maintain office supplies inventory, place orders, and liaise with vendors and service providers.
  • Provide general administrative support to management and internal teams upon request.
  • Assist with onboarding activities (e.g., access cards, desk preparation, welcome materials).
  • Ensure compliance with internal policies, health & safety standards, and company guidelines.

Requirements

Qualifications & Skills:

  • Bachelor’s degree preferred, but not mandatory if supported by relevant experience in a corporate reception or administrative assistant role.
  • Excellent verbal and written communication skills, both in Greek and English.
  • Strong organizational skills with attention to detail and ability to multitask.
  • Professional demeanor and customer-service orientation.
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
  • Ability to work independently and as part of a team.
  • High level of confidentiality, reliability, and discretion.
